About the Role
The Occupancy Specialist/Leasing Specialist is responsible for maximizing property occupancy by interacting directly with prospective and current residents, acting as the Company’s representative, and managing the entire leasing process from initial contact to resident move-in. This role involves selling the benefits of apartment living and achieving occupancy goals.
Responsibilities
- Processes income certifications/recertifications for multiple affordable housing programs and updates Yardi database.
- Processes monthly Section 8 Housing Assistance Payment Billing.
- Processes and transmits TRACS.
- Greets applicants and provides guidance during the application process.
- Coordinates leasing activities including intakes, interviews, processing, and application distribution.
- Coordinates and maintains the waiting list.
- Prepares and maintains office and rental expense budgets.
- Assists with rent collection by mailing notices to delinquent residents.
- Prepares lease packages and supplemental documents for new move-ins.
- Conducts new resident orientation.
- Performs special projects as assigned by the property manager.
- Fosters positive relationships with residents, communities, and associated agencies.
- Enforces company policies, rules, and regulations.
- Provides high-quality customer service patiently, professionally, and cooperatively.
- Preserves resident and applicant confidentiality.
- Builds relationships with prospective and current residents.
- Provides professional sales tours of model apartments, vacant apartments, and community amenities.
- Achieves tiered rent levels and occupancy goals.
- Coordinates and prepares annual lease renewals and income re-certifications.
- Updates daily turnover log, maintains waiting list, and prepares weekly leasing reports and market study.
- Provides backup support to the Occupancy Specialist.
Requirements
- Associates degree or equivalent work experience required.
- Two years sales/leasing experience desirable.
- Certified Occupancy Specialist Designation required.
- Experience with Project Based Section 8, Section 236, Rent Supplement and 13A may be needed depending on property needs.
- Strong math skills and attention to detail required.
- Knowledge of subsidy regulations.
- Proficient in Microsoft Office and Excel.
- Highly motivated and able to work independently.
- Ability to handle resident or building emergency situations if needed.
- Excellent organizational, proofreading, and interpersonal skills required.
