Responsibilities

  • Oversee building and construction project administration, including new construction, space buildouts, and facility expansions.
  • Track projects to ensure they are completed on time, within budget, and meet quality standards.
  • Maintain regular communication records for stakeholders, including city officials, contractors, and vendors.
  • Ensure documentation complies with facility and project management policies and procedures.
  • Ensure documentation complies with health and safety regulations per JCI policy and Worksafe.
  • Ensure documentation complies with emergency situations or breakdowns.
  • Track project performance measures and document progress.
  • Provide regular updates to stakeholders and ensure proper documentation is maintained.
  • Oversee the reporting and management of the financial operations of the facility and projects.
  • Prepare and maintain financial records, including budgets, forecasts, and financial statements.
  • Manage accounts receivable and payable, ensuring timely invoicing and payments.
  • Issue contracts in accordance with project and JCI policy.
  • Manage vendor relations, including invoice controls, payment terms, vendor profile updates, and vendor setup.
  • Contribute to the development and monitoring of budgets for facility operations and projects.
  • Prepare monthly, quarterly, and annual financial reports.
  • Contribute to financial analysis to support decision-making and strategic planning.
  • Maintain a project pipeline report.
  • Learn and manage information within specific JCI financial programming.
  • Ensure compliance with financial regulations and standards.
  • Coordinate and support internal and external audits.
  • Manage contracts related to facility maintenance and services.
  • Manage project-related documentation.
  • Oversee facility-related financial transactions and ensure cost-effective operations.

Requirements

  • Bachelor’s degree in finance, accounting, facility management, project management, or related field experience.
  • Previous experience in facility management or project coordination is an asset.

Skills

  • Strong organizational, analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple projects simultaneously and work under pressure.
  • Proficiency in MS Excel, Smartsheet and Sharepoint.

Education Level

  • Bachelor’s degree

Salary/Compensations

  • $73,500 - $91,900
