About the Role

Provide high-level executive and administrative support to the SVP, CFD & Commercial and CFO Crop Nutrients, ensuring the smooth day-to-day operation of the wider team. This includes managing diaries, inboxes, travel, expenses, and producing documentation. The role also involves supporting the Investment Committee by uploading documents, arranging meetings, and maintaining the intranet page.

Responsibilities

  • Provide executive assistant support to the SVP, CFD & Commercial and CFO Crop Nutrients in relation to diary management, inbox, travel and expenses
  • Translate prioritisation into active management of diaries and related administration
  • Produce high quality documentation, presentations and reports in support of the SVP, CFD & Commercial and CFO Crop Nutrients as required
  • Manage internal and external events for the SVP, CFD & Commercial and CFO Crop Nutrients
  • Provide a diplomatic and courteous “first point of contact”
  • Liaise with peer Team Assistants and Executive Support teams to address scheduling conflicts and escalate unresolved matters
  • Provide PA and administrative support as necessary
  • Upload documents to Diligent online board paper site
  • Book meeting rooms, catering, equipment for Committee meetings
  • Send out meeting invites from Executive Leadership Team calendar
  • Maintain Eureka (intranet) page for Investment Committee ensuring all details and links to documents are up to date
  • Take personal responsibility for safety of self and others to ensure zero harm and elimination of fatalities
  • Act as a role model and reinforce a workplace culture where safety and health for the site is paramount
  • Demonstrate behaviour in line with health, safety and environmental standards and with the Group’s values
  • Ensure compliance with Anglo American requirements within function

Requirements

  • Proven administrative experience in a global, large company environment across various geographies and team environments
  • Proven experience supporting senior executives and teams
  • Proven experience in complex travel itineraries, including visas, using a travel management company (online and offline)
  • Proven experience in procurement systems and processes and understanding of Supply Chain / Procure to Pay principles
  • Proficient in MS Office, particularly MS Outlook and Teams
  • Proven experience in expense processing

Skills

  • Strong organisational skills with the ability to prioritise and multitask
  • Excellent verbal and written communication skills with attention to detail
  • Strong ability to manage conflicting diary demands from multiple stakeholders
