About the Role

We are presently looking for an Executive Assistant and Transformation Program Manager. This is a permanent role, based in Sydney and will be reporting to the MD of Australasia. We are seeking an exceptional professional to partner directly with the Managing Director of Australasia while helping drive key business transformation initiatives across the region. This unique opportunity combines executive partnership with program management, enabling you to make a meaningful impact on leadership effectiveness, organizational alignment, and the successful delivery of strategic priorities. You will work closely with senior leaders across Australasia and APAC, coordinating critical activities that help the business operate with pace, discipline, and clarity.

Responsibilities

  • Manage priorities, schedules, meetings, travel, communications, and executive office activities.
  • Organize briefing materials, presentations, agendas, leadership communications, and meeting outputs to support decision-making.
  • Coordinate leadership team meetings, including business reviews, action tracking, governance processes, and follow-up activities.
  • Support the delivery of a major transformation program through milestone tracking, governance routines, reporting, and stakeholder coordination.
  • Work closely with Operations, Service, finance, HR, legal, EHS, sales, supply chain, and delivery teams to help drive execution and alignment.
  • Manage leadership events, employee engagement activities, executive visits, customer engagements, and strategic workshops.
  • Support initiatives through communication planning, stakeholder engagement, and adoption activities.
  • Deliver high-quality executive support while maintaining discretion, professionalism, and sound judgement.
  • Maintain governance structures, trackers, reporting processes, and progress updates for transformation activities.
  • Build strong relationships with leaders, regional stakeholders, executive assistants, customers, and external customers/partners.

Requirements

  • Having experience in executive support, change, project or program management.
  • Confident working with senior executives and leadership teams in a dynamic environment.
  • Exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities while maintaining a high standard of service.
  • Strong written and verbal communication, with the ability to tailor messages for different audiences.
  • A collaborative mindset with the ability to coordinate stakeholders across functions and geographies.
  • Curiosity, initiative, resilience, and a proactive approach to solving challenges.
  • Strong Microsoft 365 capability, attention to detail, and the ability to manage confidential information appropriately.
