About the Role
The Leasing Administrator plays a central role in supporting the day-to-day operations of the leasing department, ensuring a professional, efficient, and compliant leasing experience for all prospects and new residents.
Responsibilities
- Schedule property tours, lease signings, and timely follow-ups.
- Review rental applications, collect and validate required documents, and complete background and credit checks.
- Prepare and process lease agreements with accuracy and compliance.
- Coordinate lease signings and welcome packages.
- Maintain accurate tenant data and lease files in property management systems.
- Track key dates such as lease expirations, move-ins/outs, and rental rates, generating regular activity reports.
- Provide administrative support for leasing team meetings.
- Support leasing events, open houses, and marketing activities.
- Assist in responding to prospective leads and track all inquiries.
- Conduct periodic audits of lease files and ensure confidentiality of resident information.
- Perform other duties as assigned by the Regional Manager.
Requirements
- Diploma or certificate in business, real estate, or administration (or equivalent experience) is required.
- A minimum of 2 years experience in a leasing, property administration, or related support role.
- Familiarity with lease terms, property management software (preferably Building Stack), human rights legislation, Ontario Lease, and Residential Tenancies Act (RTA).
- Professional demeanor, proactive mindset, and ability to work independently and collaboratively.
- Ability to multitask, prioritize, and thrive in a fast-paced, deadline-driven environment.
- Strong attention to detail and accuracy in data and document management.
- Excellent organizational and time-management skills.
- Effective and clear verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
- Reliability and discretion in handling sensitive tenant and lease information.
- Must be eligible to work in Canada.
- Required to pass a criminal background check.
