About the Role

The Leasing Administrator plays a central role in supporting the day-to-day operations of the leasing department, ensuring a professional, efficient, and compliant leasing experience for all prospects and new residents.

Responsibilities

  • Schedule property tours, lease signings, and timely follow-ups.
  • Review rental applications, collect and validate required documents, and complete background and credit checks.
  • Prepare and process lease agreements with accuracy and compliance.
  • Coordinate lease signings and welcome packages.
  • Maintain accurate tenant data and lease files in property management systems.
  • Track key dates such as lease expirations, move-ins/outs, and rental rates, generating regular activity reports.
  • Provide administrative support for leasing team meetings.
  • Support leasing events, open houses, and marketing activities.
  • Assist in responding to prospective leads and track all inquiries.
  • Conduct periodic audits of lease files and ensure confidentiality of resident information.
  • Perform other duties as assigned by the Regional Manager.

Requirements

  • Diploma or certificate in business, real estate, or administration (or equivalent experience) is required.
  • A minimum of 2 years experience in a leasing, property administration, or related support role.
  • Familiarity with lease terms, property management software (preferably Building Stack), human rights legislation, Ontario Lease, and Residential Tenancies Act (RTA).
  • Professional demeanor, proactive mindset, and ability to work independently and collaboratively.
  • Ability to multitask, prioritize, and thrive in a fast-paced, deadline-driven environment.
  • Strong attention to detail and accuracy in data and document management.
  • Excellent organizational and time-management skills.
  • Effective and clear verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Reliability and discretion in handling sensitive tenant and lease information.
  • Must be eligible to work in Canada.
  • Required to pass a criminal background check.
