About the Role
The Client Services Assistant serves as the first point of contact for clients, visitors, and callers while ensuring the smooth day-to-day operations of the office. This role requires exceptional client service, strong organizational skills, attention to detail, and the ability to thrive in a fast-paced professional environment.
Responsibilities
- Deliver exceptional client service by greeting and assisting clients, visitors, attorneys, and staff in a professional and welcoming manner.
- Answer and direct all incoming calls received at the main reception desk.
- Manage visitor registration, assign offices to visiting attorneys, and coordinate conference room reservations.
- Coordinate meeting logistics, including catering, technology, room setup, and meeting supplies.
- Manage food orders for the office and coordinate catering for meetings and events.
- Provide administrative support, including preparing expense reports, check requests, new business memos, mailings, presentation binders, electronic files, travel arrangements, and meeting scheduling.
- Assist with the planning, coordination, and execution of office events and programs in partnership with Human Resources, Recruiting, Business Development, and other departments.
- Support additional administrative and operational projects as assigned.
Requirements
- 3+ years of experience in a professional services environment (law firm experience preferred).
- Outstanding administrative, organizational, and interpersonal skills.
- Exceptional attention to detail, accuracy, and proofreading abilities.
- Strong verbal and written communication skills with a polished, professional demeanor.
- Ability to manage multiple priorities, meet deadlines, and thrive in a fast-paced environment.
- Proactive, self-motivated approach with excellent judgment and problem-solving skills.
- Positive, collaborative, and client-service-oriented attitude with the ability to interact effectively with attorneys, clients, and staff at all levels.
- Professional appearance and ability to handle confidential and sensitive matters with discretion.
- Flexibility to adapt to changing priorities, technologies, and office procedures.
