About the Role
Manage the agency's incoming projects and help select appropriate teams based on schedule, workload, experience level, and area of expertise. Play a role in Operations Duties across the agency.
Responsibilities
- Liaise with Client Service and Production to manage incoming briefs, timelines, and assign resources for all projects, with guidance of department leads.
- Organize regular status/check-ins with each account group to determine upcoming resourcing needs.
- Proactively engage in resource planning on a weekly, monthly, and quarterly basis, tracking and reporting on team utilization, project allocation accuracy, and forecasting trends.
- Communicate with and develop relationships with department leads to verify individual workloads and skillsets.
- Adopt resource management systems (e.g., Asana, Forecast) to organize and communicate resource capacity and plan accordingly.
- Maintain Freelancer database and ensure freelance budget is managed, including sourcing, setup, onboarding, and invoicing.
- Coordinate with the wider WAS network for additional internal resource support and capacity.
- Own the freelance management lifecycle from sourcing, contracting, systems setup to payment.
- Support the enforcement of timesheets within the agency, including training, assisting with project job numbers, and tracking overdue timesheets.
Requirements
- 4+ years experience working in a creative agency.
- Highly adaptable with strong organizational skills, adept at problem-solving and rigorous attention to detail.
- Proactive and solution-oriented, providing proposals for improvement.
- Expert in multi-tasking and prioritization, with oversight and intimate knowledge of all projects in the pipeline.
- Flexible, patient, yet firm in managing multiple project pieces and personalities.
- Detail-oriented with a focus on developing processes to prevent errors.
- Ability to remain calm under pressure in a fast-paced, deadline-driven environment.
- Natural curiosity and understanding of systems thinking, AI implementation, and mindset in social marketing.
- Curiosity for social marketing trends and translating them into creative and editorial executions.
- Obsessed with the internet and fluent in meme language.
