About the Role
We are seeking a proactive Executive Assistant to serve as the right hand to our President, managing daily operations, communications, and ensuring seamless execution across a fast-moving startup. This high-trust, high-visibility role is central to the President's effectiveness and involves both strategic support and on-site office coordination.
Responsibilities
- Manage the President's calendar, scheduling, and travel logistics, prioritizing ruthlessly and protecting time for what matters most.
- Prepare agendas, briefing materials, and presentations for internal and external meetings.
- Track action items and follow-ups from meetings, ensuring nothing slips.
- Coordinate internal and external meetings with customers, partners, investors, and cross-functional leadership.
- Help draft and organize communications on behalf of the President when needed.
- Keep documents, presentations, and meeting notes organized and accessible.
- Track deadlines and commitments across the commercial organization involving the President.
- Help coordinate cross-functional meetings and leadership discussions.
- Support preparation for board meetings, offsites, sales reviews, and company events.
- Greet guests and coordinate visitor logistics at our Glen Cove facility.
- Assist with team lunches, leadership meetings, and small on-site events.
- Help maintain a welcoming and organized office environment.
- Handle light office supply and logistics needs.
Requirements
- 3-7 years of experience as an Executive Assistant, Administrative Assistant, or in an operations coordination role supporting a senior executive in a fast-moving environment.
- Highly organized and detail-oriented, with systems that others can rely on.
- Strong written communication skills, clear, professional, and appropriately calibrated for external audiences.
- High level of discretion and reliability in handling sensitive information.
- Ability to manage multiple shifting priorities simultaneously without losing composure.
- Proactive nature, anticipating needs, flagging issues early, and solving problems independently.
- Comfortable operating in a startup environment with ambiguity and changing playbooks.
- Experience supporting a sales, GTM, or commercial leader is a plus.
- Familiarity with CRM tools (HubSpot, Salesforce) or project management platforms is a plus.
- Exposure to a manufacturing, hardware, or industrial technology environment is a plus.
- Interest in robotics, automation, or deep tech is a plus.
