About the Role
This position is responsible for the coordination of all daily schedule activities of Clinical Services, including staff scheduling, equipment availability, and customer communication to ensure smooth operations and regulatory compliance.
Responsibilities
- Coordinate daily schedule activities of Clinical Services.
- Coordinate clinical services staff schedules for daily and emergency cases, ensuring staff and managers are updated.
- Prepare work schedules for Clinical Services mobile staff for management approval.
- Collaborate with Logistics to ensure equipment and supplies are available for all procedures.
- Intake customer information for new patients, capture pertinent details, and convey to the appropriate manager.
- Confirm scheduled cases to hospital customers within a 24-hour timeframe.
- Support Managers in aligning daily activities with NYBC, FDA, AABB, and FACT regulations.
- Ensure accuracy and compliance with NYBC SOPs and Procedures, making corrections and reporting deviations.
- Manage documentation from CAS and PAT staff for timely submittal and participate in daily reconciliation and review.
- Provide coverage for billing, data entry, and other administrative tasks.
- Prepare reports on quality indicators, machine quality control, staff performance, and quarterly reports.
- Promote excellent Customer Service.
- Coordinate web appointments for Dendreon, NMDP, and Research Cases.
- Attend educational workshops and vendor and industry training.
- Prepare credential packets.
- Create, file, and enter charts into the chart tracking system.
- Reconcile and manage employee time using TC-1.
- Maintain Vacation and Sick Time Grid for employees.
- Make recommendations to improve organizational processes.
- Perform any related duties as assigned.
Requirements
- High School diploma required.
- Three to five years of medical or health care related experience required.
- Knowledge of basic medical terminology and understanding of diseases treated by CAS and procedures for PAT.
- Knowledge of hospital practices, policies, procedures, and guidelines.
- Knowledge of a variety of Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of databases (e.g., File Maker Pro).
- Strong attention to detail in all work processes.
- Ability to work independently with minimal supervision.
- High level of interpersonal skills to handle a variety of complex issues and situations.
- Demonstrated poise, tact, and diplomacy in dealing with staff up to executive leadership.
- Ability to communicate clearly, both in writing and verbally.
