About the Role
The Concierge is responsible for providing access and reception services to all visitors to the property and assisting residents with inquiries by providing personalized assistance and ensuring resident satisfaction. As the primary point of contact for residents, the Concierge is a champion of the resident experience and seizes every opportunity to exceed resident expectations.
Responsibilities
- Provide prompt and courteous service to prospective and current residents, focusing on their individual needs and wants.
- Greet visitors, suppliers, and residents.
- Respond to resident requests for special arrangements or services by making arrangements or identifying appropriate providers.
- Respond to special requests from residents with unique needs and follow up to ensure satisfaction.
- Establish positive working relationships with business owners and suppliers in the area to provide residents with high quality and reliable recommendations.
- Maintain expert knowledge of the surrounding community, its amenities, and services, and gather, summarize, and provide information to residents about the property and the surrounding area.
- Answer, record, and process all resident calls, messages, requests, questions, or concerns.
- Update and review shift logs/daily memo books and document pertinent information in logbooks.
- Maintain amenity booking logs and ensure appropriate contract or form is completed.
- Assist residents with maintenance service requests.
- Assist Leasing staff with organizing resident events.
- Provide residents with suite access in the event of lock outs/lost keys in accordance with suite access policies.
- Maintain property notice boards to ensure only updated notices are posted and stale notices are removed.
- Execute community partnerships and assist in developing partnerships with Yorkville and the downtown Toronto core.
- Develop and maintain a top-tier front of house lobby and amenity space experience.
- Schedule and maintain logs for service elevator and loading dock and conduct inspections before and after resident use.
- Provide building access to contractors and visitors by maintaining contractor logs and managing access devices.
- Issue visitor parking passes in line with visitor parking policies.
- Activate and maintain logs of security access cards and fobs, underground transmitters, and other access devices.
- Maintain Enterphone system and update security system software.
- Act as a liaison between contracted security staff and Property Manager, reporting any issues to Management and new directives/policies to contracted staff.
- Manage parcel deliveries, including delivering packages into designated parcel systems and resident suites.
- Participate in community and charitable events that involve the property, its residents, or employees.
- Assist in the implementation of BGO’s sustainability and engagement programs at the property.
- Embrace and proactively support BGO’s culture of environmental sustainability, and corporate and social responsibility.
Requirements
- 1-2 years related experience as a residential or hotel concierge.
- Experience in a customer service, residential property management, or hospitality-related role.
- Exceptional and refined oral and written communication and presentation skills.
- Ability to develop and sustain cooperative working relationships with residents, suppliers, and internal staff.
- Ability to maintain confidentiality and absolute discretion with resident and company information.
- Ability to allocate one's time effectively, work under pressure, and manage tight deadlines.
- Ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes.
- Detail-oriented.
- Advanced skills in Excel, Word, and Outlook.
- Ability to conduct internet research to assist residents with requests.
- A criminal verification check is required for employment.
