About the Role
Polsinelli PC is seeking an engaging professional to fill a full-time position as an Office Coordinator/Receptionist in their New York office. This role is ideal for someone starting their professional career who wants to make a mark in the legal industry. You will be responsible for enhancing the in-office experience through excellent client service and responsiveness, while supporting attorneys and staff with daily office operations.
Responsibilities
- Serve as the "face" of Polsinelli’s New York office, setting the tone for visitor and resident experiences.
- Partner with the Officer Managing Partner and Regional Office Administrator to manage office operations.
- Liaise with building management on facilities management.
- Review and approve timesheets; assist with staff support and general office operations.
- Greet and assist visitors and office residents, managing the front desk with exceptional client service.
- Answer, screen, and direct incoming calls; take messages and handle inquiries.
- Assist visitors with requests, including light legal administrative support.
- Coordinate and schedule conference rooms and order catering for meetings.
- Ensure conference rooms are appropriately set up using Meeting Room Manager or other technology.
- Coordinate with other office support staff to ensure seamless operations.
- Manage courier services for receiving and forwarding deliveries.
- Maintain the appearance and experience of the office.
- Provide support to Legal Administrative Assistants or other administrative departments as needed.
- Perform tasks related to onboarding and offboarding attorneys and staff.
- Act as a point of contact between legal and administrative personnel across multiple offices.
- Provide on-site backup for the Office Administrator in their absence.
- Participate as a Polsinelli PROUD committee member or team captain.
- Assist the Hospitality Coordinator and Office Services Coordinator, including providing backup coverage.
- Partner with the Office Administrator, Marketing, and other staff for office event planning, setup, and execution, including vendor communication, AV setup, and other event-related tasks.
