About the Role

As an Operations Manager, you will provide expert-level administrative support to high-level BPI executives, working alongside existing operations assistants. This position plays a crucial role in enabling BPI leadership to work efficiently and focus on strategic priorities. You will serve as a key operational partner who helps proactively manage daily, weekly, and long-term calendars and logistics for executives and support internal operations in maintaining the SF Office culture.

Responsibilities

  • Proactively manage complex schedules and calendar appointments, prioritizing competing demands.
  • Align core working hours to CT while maintaining flexibility for urgent scheduling adjustments outside standard hours.
  • Schedule and confirm internal meetings, coordinating with external stakeholders for client and vendor meetings.
  • Be mindful of US and international time zones when scheduling, building in adequate time for preparation, travel, and breaks.
  • Coordinate domestic and international travel logistics, including flights, hotels, and ground transportation.
  • Submit weekly hours and manage monthly expense reports, ensuring accuracy, timeliness, and compliance.
  • Conduct light research and assist with presentation materials.
  • Provide end-to-end trip support, including detailed itinerary development and managing last-minute logistics adjustments.
  • Proactively take initiative on operational tasks by building strong relational alignment with executives and intuitively understanding their priorities.
  • Be a champion of BPI culture and collaborate with leadership in planning activities, calendars, and the organization of events and operations tasks.

Requirements

  • 4-7 years of relevant experience, preferably as an executive assistant or in an internal operations role.
  • Proven track record of managing multiple complex calendars in a fast-paced environment.
  • Demonstrated ability to maintain flexibility and responsiveness outside of core business hours for time-sensitive travel or scheduling emergencies.
  • Proven ability to prioritize and handle multiple assignments while maintaining commitment to deadlines and long-term goals.
  • Exceptional organizational and time management skills.
  • Strong interpersonal and communication skills with a high level of intuition and discretion.
  • Thrives working in a collaborative and fast-paced environment while juggling multiple projects and conflicting timelines.
  • Ability to anticipate needs and proactively address issues with a problem-solving mindset.
