About the Role

The Onsite Clinical Responder supports TOSA's mission by managing all referral activity through authorization, serving as the first point of contact, and ensuring seamless communication with hospital teams. This role collaborates with hospital staff, physicians, and internal teams to facilitate timely case progression while maintaining standards. Responsibilities include chart reviews, on-site huddles, and referral management, with occasional support for families and approaching for donation. This role also performs case start duties for organ cases and documents all clinical activity.

Responsibilities

Manages all referral activity through authorization.
Serves as the first point of contact for referrals.
Ensures seamless communication with hospital teams throughout the referral process.
Collaborates with hospital staff, physicians, clinical leadership, and internal support teams.
Facilitates timely and effective case progression.
Maintains regulatory and organizational standards.
Conducts comprehensive chart reviews using electronic medical records (EMR’s).
Participates in on-site huddles with the healthcare team.
Manages referrals leading up to authorization.
Supports families and approaches for donation on occasion.
Performs case start duties for organ cases.
Accurately documents all clinical activity.
Works closely with on-call team members and leadership to triage each referral.
Triages organ, tissue, and eye referrals with quality customer service.
Performs referral evaluation on-site and via phone according to policies.
Evaluates medical suitability of potential organ and/or tissue donors.
Checks Texas Donor Registry status on all open referrals.
Obtains and maintains EMR access to all available hospitals and the Texas Donor Registry.
Collaborates with physicians and hospital staff to develop a plan for referral management.
Informs hospital staff on the progression of the referral process.
Provides clinical updates to relevant stakeholders.
Demonstrates understanding of legal and hospital requirements for declaration of death and organ donation.
Identifies the patient’s legal next-of-kin.
Establishes and maintains effective working relationships with TOSA staff, hospital staff, transplant center staff, and other stakeholders.
Acts as a liaison to Tissue/Eye agencies.
Activates transport for clinical supplies and equipment.
Documents complete, accurate, and timely information in the confidential donor record, forms, and database.
Consults TOSA’s Medical Director and AOC.
Displays a caring and courteous attitude, representing TOSA positively.
Maintains confidentiality of information.
Attends and completes TOSA training programs.
Completes approach/authorization training within 1 year of hire date.
Participates in interdisciplinary quality meetings and post-donor reviews.
Participates in education and training programs for hospitals, transplant programs, and the public.
Ensures compliance with TOSA’s Safety, Quality, and Multicultural Organizational Plans.
Performs other duties as required.

Requirements

Associate's degree in allied or health science, and/or licensed RN, LVN, Paramedic, RRT, and/or previous OPO experience is preferred.
A combination of alternative education and experience may be considered in lieu of formal education requirements.
Experience in the medical/critical care field is required.
Must understand medical terminology, basic pathophysiology, and clinical decision-making processes.
Proficient in the use of Electronic Medical Records (EMR) systems.
Strong documentation and data entry skills are required.
Excellent oral and written communication skills are required.
Must communicate effectively with all personnel levels and represent the organization publicly.
Demonstrates teamwork, clinical, analytical, organizational, and communication skills in a high stress environment.
BLS certification.
Working knowledge of standard office equipment (computer/fax/copier).
A valid driver's license and proof of automobile insurance.
Possession of a reliable personal automobile.
Requires installation and use of a company-approved location tracking application during work-related travel and while performing duties at off-site locations.
Ability to lift at least 50lbs.
Ability to travel by company or personal automobile, or commercial/charter aircraft.
Ability to gain on-site access/clearance to all facilities within the Designated Service Area (DSA).
Maintain confidentiality regarding all donor information.
