About the Role

The Production Coordinator, alongside the Production Manager, is responsible for the smooth running of the Broadcast Studios and Film Team. This fast-paced role involves a wide range of daily tasks and is broadly office-based. We seek an organized self-starter with a good understanding of TV, video, and film production, who can identify and implement process improvements.

Responsibilities

  • End-to-end management and responsibility for production workflow and associated budget, across multiple concurrent projects.
  • Manage team staffing schedule & resourcing calendar, acting as a key contact for bookings and communicating the schedule to key partners.
  • Handle pre and postproduction communication, compiling and distributing call sheets and filming schedules.
  • Inform all crew about call times and any schedule changes in a timely manner.
  • Set up planning calls to support brief development for projects.
  • Analyze briefs to plan production and costs.
  • Schedule shoots and edits based on resource availability, both in-house and freelancers.
  • Assist on video shoots and live event delivery as needed.
  • Coordinate visa applications and carnets.
  • Coordinate the collection of video assets and other pre-production resources.
  • Manage post-production timelines and feedback processes.
  • Ensure deliverables are shared and communicate deadline changes to stakeholders.
  • Complete production paperwork, including risk assessments, release forms, filming permits, and insurance, ensuring adherence to production, compliance, and Health and Safety guidelines.
  • Manage all aspects of production finance, including drafting, negotiating, and handling programme budgets, cost reporting, raising purchase orders, approving expenses, and paying supplier and freelance invoices/timesheets.
  • Research and book external resources, including freelance crew, equipment, and catering.
  • Advise internal teams in advance of any cross charges incurred.
  • Onboard and contract freelance crew and external facilities companies.
  • Order office inventory as needed, liaise with property and security teams, and book transport.
  • Demonstrate flexibility in all tasks.

  • Is a self-starter, unafraid to ask the right questions and use own judgement to address problems.
  • Can stand firm.
  • Is organized and can see how an already well-developed process can be improved.
