About the Role
We are seeking a talented and motivated Assistant Facilities Manager to support client premises in Tokyo. You will play a key role in the Corporate Services team, assisting in the delivery of services for office facilities operations and maintenance, including customer service, financial management, facilities maintenance, procurement, and supplier management. You will also develop client relationships to support their corporate real estate goals.
Responsibilities
- Establish a "Safety First" culture and improve safety performance.
- Provide leadership and guidance to ensure high client service standards.
- Ensure compliance by renewing government and statutory licenses.
- Ensure client satisfaction through a seamless interface.
- Ensure audit programs are fully implemented for quality assurance.
- Liaise with the Technical team to plan, assign, and supervise activities using Corrigo.
- Check on-site repairs and maintenance by subcontractors for compliance.
- Provide accurate management reports at defined frequencies.
- Develop and maintain proactive relationships with internal and external customers.
- Achieve Key Performance Indicators and Service Level Agreement targets.
- Participate in emergency evacuation procedures, crisis management, and business continuity.
- Review operational SOPs and propose improvements.
- Manage minor projects and office churn.
- Conduct regular site inspections to maintain high standards.
- Perform additional tasks as required.
- Actively encourage teamwork, cooperation, and performance excellence.
- Act as a manager and coach, ensuring high staff morale, trust, and work ethics.
- Ensure direct reports are trained on facilities policies, procedures, and systems.
- Identify development areas for direct reports.
- Monitor, measure, and report on vendor performance against contractual schedules.
- Coordinate meetings with contractors to establish and maintain standards.
- Program specialist subcontractor attendance, ensuring adherence to client and JLL processes.
- Work with supply chain to select, procure, and manage specialist vendors.
- Effectively manage site operating expenses to meet the budget.
- Assist with the production of capital expenditure and operational expenditure plans.
- Ensure all financial processes comply with JLL and client processes, including competitive bids, PO issuance, and work receipting.
Requirements
- Higher diploma holder in Facilities Management Discipline or equivalent.
- A minimum of 5 years' relevant working experience in facilities management with demonstrated ability to exercise proper judgment.
- Knowledge in local statutory requirements.
- High level of attention to detail, particularly in high volume and pressure environments.
- Strong customer service and interpersonal skills.
- Good verbal and written communication skills in English.
- Collaborative team player with the ability to work independently under matrix supervision.
- Knowledge of standard business and accounting practices.
- Knowledge of Excel and ability to analyze data.
- Experience in account operations and management.
- Experience in Project Management, move and churns.
