About the Role

The Administrative Clinical Coordinator manages supervised clinical training experiences for physician assistant studies students, aiming to improve effectiveness through planning, development, initiation, and evaluation of clinical placements.

Responsibilities

  • Coordinate and maintain clinical placements with contracted clinical agencies/preceptors.
  • Manage annual slot request process and supervise the follow-up plan for communication with sites.
  • Maintain regular communication with students, instructional faculty, hospital representatives, and DPAS clinical year team to update the database for student placements using Prism.
  • Review all end-of-rotation site evaluations and site survival forms within one week of rotation completion.
  • Collaborate with the Clinical Coordinator and clinical rotation faculty when concerns are recognized to ensure sites meet program learning outcomes.
  • Design and implement plans to meet with first-year students individually to discuss placements, wish lists, and investigate geographic alternatives.
  • Deliver an orientation to pre-clinical students covering clinical placement policies, site requirements, and DPAS Student Handbook alignment.
  • Manage clinical placement lists and update lists in the ARC-PA portal bi-annually.
  • Generate requested reports for the Clinical Coordinator, Data Analyst, and Program Director.
  • Anticipate clinical training site needs and communicate them to the Program Director.
  • Ensure site capacity aligns with cohort size, geographic location, and ARC-PA standards.
  • Collect and maintain documentation of preceptor licensure and certifications as required by ARC-PA.
  • Create, process, and maintain a database for payments to clinical preceptors in collaboration with Accounts Payable and the Office of Finance.
  • Engage in professional development to remain current on ARC-PA requirements and understand the clinical placement climate.
  • Advocate for institutional, state, and federal support for clinical preceptors.
  • Remain up-to-date on all ARC-PA standards and requirements regarding Supervised Clinical Practice Experience instruction.
  • Demonstrate and role-model Le Moyne's mission-based competencies in all interactions.
  • Strengthen digital literacy skills through education and application of digital technologies.

Requirements

  • Bachelor’s Degree required.
  • 5+ years of experience required.
  • Two years specifically in an administrative support position with a focus on customer service and project management.
  • Strong written and oral communication skills.
  • Exceptional planning and organizational skills.
  • Ability to lead, take initiative, and ownership of projects.
  • Proven ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact.
  • Attention to detail and accuracy.
  • Proficiency in MS Office.
  • Comfort with utilizing multiple platforms/systems to manage workflow.
