About the Role
The Assistant Registrar is responsible for all functions within the Registrar’s Office related to student records, degree completion, and curriculum management. This position supports the oversight of operations to ensure successful and efficient performance.
Responsibilities
- Contribute to the day-to-day operations of the Registrar’s office.
- Interpret and enforce Federal, State, and College policies, rules, and regulations.
- Maintain data integrity of student academic records.
- Provide excellent customer service regarding student records to students, families, faculty, staff, and external agencies.
- Manage commencement and degree completion processes, including academic advising, communications, graduation applications, degree audits, degree conferrals, and data reporting.
- Collaborate with campus-wide partners to ensure accuracy of student records data for commencement, honors, awards, and degree conferral.
- Process student hiatuses and related communications.
- Analyze study abroad and international transfer credit in collaboration with administrators and offices.
- Perform National Clearinghouse and NSLDS enrollment reporting, degree verification, and error resolutions.
- Maintain document management and workflow solutions, including OnBase, Google forms, and related technologies.
- Serve as the primary liaison for student systems vendors and external partners, including National Student Clearinghouse and Parchment.
- Assist with communications to and from the Registrar’s office, including phone calls, emails, and official correspondences.
- Assist with the maintenance of student educational records.
- Assist with the identification, investigation, and resolution of issues and processing errors regarding registration and records areas.
- Assist with streamlining policies and procedures to improve efficiency.
- Evaluate, implement, and test new software, upgrades, and systems for the Registrar’s Office.
- Develop training materials and serve as the College’s training resource for student information systems (SIS) and related software best practices.
- Serve on selected college committees.
- Attend College events as needed, including some evenings and weekends.
- Perform other duties as assigned.

Requirements
- Bachelor’s degree and 2-5 years of related experience in a higher education setting.
- Professional demeanor and ability to interact well with others in a fast-paced operation.
- Strong knowledge of student records administration, academic operations, and higher education business processes.
- Demonstrated ability to analyze complex issues, develop practical solutions, and lead operational improvements.
- Strong interpersonal, leadership, communication, and organizational skills.
- Proven ability to work collaboratively.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and deadlines effectively.
- Proficiency in Excel is essential.
- Respect for confidential information.
- Working knowledge of FERPA is required.
