About the Role

The Campus Visit Coordinator works closely with the admission management team to create, manage, and improve the guest visit experience. This role involves communicating with prospective students and families, data entry, material preparation, and visitor interaction. The Coordinator also serves as an In-House Admission Counselor, meeting prospective students and families and handling visit sessions. Responsibilities include managing group visits, scheduling presentations, and overseeing Student Ambassadors/Tour Guides. Minimal travel is required, with potential for local travel assistance.

Responsibilities

  • Manage the ambassador program in coordination with the Director of First Year Admission.
  • Manage the training of student ambassadors.
  • Provide on-site daily supervision of the ambassador staff.
  • Assign tours to ambassador staff and ensure availability.
  • Create and manage the schedule for 40 student ambassadors, making necessary alterations.
  • Collaborate with the office coordinator to prepare customized schedules and materials.
  • Coordinate with academic departments and campus partners for signage and directional information.
  • Oversee the day-to-day campus visit program.
  • Coordinate with the office coordinator to provide coverage for the visit area.
  • Oversee phone coverage of the visit desk, fielding visit requests and monitoring student staff.
  • Prepare reference materials for student staff.
  • Assist in the creation of training materials and digital resources for Student Ambassadors/Tour Guides.
  • Maintain website and social media content to enhance volunteer engagement.
  • Coordinate with the Director for Enrollment Marketing to ensure accurate and timely messaging.
  • Assist in planning and organizing on-campus enrollment events.
  • Conduct admission interviews and participate in application decision making.
  • Act as back-up for local admission travel when needed.
  • Evaluate prospective students’ application materials for admission decision recommendations.
  • Coordinate the group visit program and manage staffing of presentations.
  • Lead high-volume interviews and present to large groups for information sessions.
  • Analyze survey results to make recommendations for improving the campus visit experience.
  • Partner with the admission team to establish Le Moyne student admission programs.
  • Demonstrate and role-model Le Moyne’s mission-based competencies.
  • Strengthen digital literacy skills.
  • Support cura personalis by treating all individuals with dignity, professionalism, and kindness.
  • Promote cura apostolica by aligning professional goals with college strategic goals.
  • Demonstrate excellent work attendance, reliability, and work ethic.
  • Attend and actively participate in required meetings and training sessions.
  • Comply with all Le Moyne policies, procedures, and codes of conduct.
  • Complete all required federal, state, institution, and department trainings.
  • Engage in a planned program of professional development.
  • Continually maintain skills and knowledge relative to the position and technology industry.
  • Perform a variety of related duties as assigned.

Requirements

  • Bachelor’s Degree required.
  • Experience in working in an admissions office environment preferred.
  • Comfortable working with professionals at varying stages in their careers.
  • Must be able to engage prospective students and their guardians, while effectively communicating the value of a Jesuit and a Liberal Arts education utilizing various platforms.
  • Strong organizational skills.
  • Event planning experience preferred.
  • Strong presentation skills.
  • Ability to work independently and in a team environment.
  • Ability to multitask and work with tight deadlines.
  • Must be comfortable with technology and using various current software programs, preferably Slate.
  • Ability to interact and work effectively with a broad range of campus constituencies.
  • Must have a valid driver’s license.
  • Must be able to lift about 25-30 pounds to transport recruitment materials.
  • Willingness to work some evenings and weekends.
  • Willingness to travel as needed.
  • 3+ years of experience in event planning, alumni relations, donor relations, or related fields.
  • Strong organizational and project management skills with the ability to manage multiple complex events simultaneously.
  • Excellent written and verbal communication skills.
  • Strong relationship-building skills with alumni, donors, and volunteers.
  • Proficiency with Microsoft Office; experience with event management platforms and advancement databases (e.g., Raiser’s Edge) preferred.
  • Flexibility to work evenings, weekends, and travel for events as needed.

  • Ability to occasional work evenings and weekends.
  • Ability to travel to support alumni and donor events as needed.
