About the Role

The Operations Coordinator is the connective tissue of the team’s day-to-day operations, spanning financial ops, project and staffing ops, and systems work across Airtable, Salesforce, Hive, and AI platforms. This is a builder’s role with real room to grow, expected to move from executing tasks to owning workstreams, designing how work gets done, and presenting plans directly to leadership.

Responsibilities

  • Run the active payments queue, making real-time calls on urgency, escrow fronting, and exceptions.
  • Own remittance and reconciliation end-to-end, using AI-assisted workflows.
  • Drive vendor and client onboarding from intake to live.
  • Help coordinate employee onboarding and offboarding including system access, setup and trainings.
  • Own product placement operations: shipments, metadata, client-specific tagging, and the daily upload workflow.
  • Design and build Airtable schema, automations, and form guardrails.
  • Run the Hive support inbox and support ongoing system upgrades.
  • Build SOPs and recorded walkthroughs so every process is transferable.
  • Partner with planning on sales forecasts and utilization reporting and bring self-initiated improvement plans to leadership.

Requirements

  • Strong Excel / Google sheet skills required
  • Strong interest and demonstrated experience in AI tooling and automation workflows
  • Airtable or low-code software building skills required
  • Salesforce proficiency
  • Familiarity with bookkeeping / accounting best practices
