About the Role
The Faculty of Health, Community Studies, Nursing and Public Safety at Fanshawe College prepares future professionals for impactful careers. This role serves as the primary point of contact for inquiries and provides essential administrative and Student Information Systems (SIS) support for the faculty.
Responsibilities
- Provide customer service, secretarial, and clerical support.
- Act as the Student Information Systems (SIS) liaison for the Faculty of Health, Community Studies, Nursing and Public Safety.
- Serve as the first point of contact for walk-in and telephone inquiries.
- Assign class letters (program sections) for all programs.
- Monitor mid-term and final grading, and academic standing activities.
- Liaise with faculty to obtain necessary information by deadlines.
- Resolve registration and student record issues or guide students on appropriate actions.
- Collate and verify graduation lists from academic records.
- Process and maintain school records for internal and external course credits.
- Assist with the generation and distribution of class lists and rosters for faculty.
- Mail letters to applicants and registrants, including collating packages.
- Maintain the student records filing system.
- Post Faculty and Program timetables each semester.
- Manage course and program enrollment/registration for students.
- Plan and participate in the development of the Orientation Schedule for students.
- Run admission reports, program registration, and verifications.
- Add applications, verify advanced standing and PLA data, and process add/drop courses.
- Determine student registration status and advise students and faculty on procedures.
- Liaise with cooperative education consultants for graduation information.
- Assist faculty and students with academic matters related to the SIS.
- Liaise with students regarding registration, credit approval/denial, and graduation eligibility.
- Collect and update systems for applicant supplemental submissions.
- Perform front-line reception and clerical duties.
- Answer telephone inquiries and manage various callers and walk-in clientele.
- Direct inquiries to the appropriate party or service.
- Distribute messages to and from students, faculty, and staff.
- Maintain calendars and book appointments for academic staff.
- Monitor and maintain adequate office, instructional, and photocopier supplies.
- Arrange for photocopier maintenance and provide training.
- Distribute mail and incoming faxes.
- Collect and distribute student assignments to faculty.
- Maintain school contact information records.
- Complete updates to the Course Outline Mapping and Management System (COMMs) each semester.
- Provide backup to other Customer Service Representatives and SIS Designates.
- Assist with College-approved activities such as graduation ceremonies and feedback surveys.
Requirements
- Post-secondary two (2) year diploma or equivalent in Office Administration, Business or equivalent combination of academic education and related work experience.
- Minimum one (1) year of experience in a team environment in an academic service office.
- Experience using a variety of computer software packages such as word processing and spreadsheets.
- Familiarity with student information systems in a post-secondary work environment is an asset.
- Strong organizational skills, time management skills and attention to detail.
- Ability to multi-task and work independently.
- Excellent verbal and written communication skills.
- Successful candidates will be required to perform work within Ontario.
- Must be available to work on campus as required.
