About the Role

Shrub Oak International School (SOIS) is a therapeutic day and residential school for autistic children, adolescents, and young adults with complex co-occurring conditions. We offer a variety of programs to meet the needs of students across the spectrum, and our curriculum is based on the most advanced and successful evidence-based clinical and academic approaches in ASD education.

Responsibilities

  • Coordinate intake and manage the lifecycle of student records, including systems management.
  • Serve as the primary point of contact for school districts, care managers, OPWDD, and internal communications regarding contracts and assessments.
  • Manage Connor’s Case documents and subpoenas from initiation to completion.
  • Oversee QA and compliance tracking to ensure audit readiness.
  • Generate student demographic reports, enrollment reports, and census updates, and propose strategic reporting enhancements.
  • Manage the completion and submission of discharge and program transition paperwork, ensuring timelines are met and stakeholders are informed.
  • Track, report, and ensure timely compliance for strategic dashboards, reporting, and metrics.
  • Plan and coordinate internal leadership meetings across all subjects and categories.
  • Manage school accreditations, including filing, tracking, compliance, and documentation.
  • Oversee incident report review and routing, policy/procedure version control, and end-to-end site survey preparation and execution.
  • Assist the Executive Director with tuition and contract tracking within a complex multi-tiered contract model.
  • Partner with HR to cross-reference staff credentials for program compliance.
  • Act as a gatekeeper for the Executive Director's signature on all budget, purchasing, and departmental orders, verifying budgetary obligations and approvals.

Requirements

  • Associate degree in business administration or related field required; Bachelor's and Master's degrees preferred.
  • 3+ years of experience as an Executive Assistant in a fast-paced company or industry required; 5+ years preferred.
  • Demonstrated strong organizational, administrative, project management, and time management skills.
  • Demonstrated ability to stay organized, manage multiple tasks with interruptions, set priorities, meet deadlines, and maintain attention to detail.
  • IT and systems project management experience, including stakeholder management, launch, and change management, is preferred.
  • Highly proficient with Microsoft Office Suite and technology systems required; advanced Excel skills for data management and reporting preferred.
  • Experience supporting school administration and Connors Cases, including experience with students on the autism spectrum or with developmental disabilities, is preferred.
  • Ability to ambulate around the campus, including hills, stairs, grass, and gravel.
