About the Role

We are looking for an incredible permanent Board Liaison Manager to join our CRO Office at CFS. This role reports to the Head of the Office of the Superannuation Trustee.

Responsibilities

  • Manage Board and Board Committee processes by preparing and distributing papers, agendas, minutes, standing items, matters arising, and circular resolutions.
  • Respond to requests for statutory records and corporate information.
  • Coordinate training and maintain up-to-date Standard Operating Procedures.
  • Assist the Company Secretary with risk and compliance obligations.
  • File and safeguard company registers and statutory records relating to CFS Group entities.
  • Maintain and manage the Diligent relationship and portals.
  • Create and maintain internal records, working documents, and standard operating procedures.
  • Manage Boards’ Director Contact List.
  • Arrange, manage, and communicate logistics for Board and Committee meetings.
  • Update Company Secretariat intranet pages with any required changes.
  • Serve as the central liaison for Director Communications and interactions.
  • Assist with other projects, including Company Secretariat risk and compliance activities and processes for various Boards.
  • Respond to and collate documents for regulatory lodgments and related queries.
  • Monitor and manage the Team shared mailbox.
  • Assist with team administration matters.
  • Provide calendar and secretarial support to the Head of the OST & Group Company Secretary.

Requirements

  • Solid Executive Board Assistant experience or experience in a similar Business Manager/Senior Executive Assistant role.
  • Strong written and verbal communication skills.
  • Advanced Microsoft Office skills (Word, PowerPoint, Teams, OneNote and Excel).
  • Advanced experience with Diligent Boards.
  • Highly organized with excellent time management skills.
  • Strong customer service/relationship management skills.
  • Experience with DocuSign.
  • Very strong attention to detail.
  • Strict adherence to confidentiality at all times.
  • Ability to work autonomously and use initiative to drive success.
  • Full work rights in Australia.
