About the Role

The Senior Project Coordinator will work closely with the Operations Director, Management Team, and project teams to provide organizational support, manage project data, and ensure operational initiatives and project deadlines are met.

Responsibilities

  • Serve as a resource and right-hand person to Operations and Project Managers for organization, knowledge, and protocols.
  • Oversee the team to ensure deadlines are met for operations initiatives and across projects.
  • Manage project data through new processes and/or in firmwide databases.
  • Support local implementation of corporate initiatives.
  • Organize the Project Coordinator team, delegate tasks and duties, and oversee deadline adherence.
  • Improve team efficiency and act as a problem solver.
  • Support Project Coordinators in training and development.
  • Connect with Project Managers on the need for Project Coordinator support.
  • Coordinate with consultants for timely invoicing.
  • Prepare and assemble documentation to be issued to other parties, such as contracts and insurance requirements.
  • Assist the Design Management team with data entry and file management.
  • Update and manage various logs related to project work and operations work.
  • Coordinate workflow between the manager and the rest of the team.
  • Update and follow up on delegated tasks to ensure progress to deadlines.
  • Coordinate with finance and accounting to ensure accurate information flow and contract invoicing.
  • Write effective meeting minutes.
  • Create new templates to facilitate more efficient processes.
  • Master project tracking for status, invoicing, and scheduling.
  • Perform support and/or administrative tasks as required.
  • Perform other duties as assigned by the project manager.

Requirements

  • 6+ years of experience
  • Bachelor's in business, management, communications, architecture, or related field is desired
  • Excellent communication skills and a strong team ethic
  • Strong organization, multi-tasking, and time management skills
  • Ability to interact professionally with office leadership and clients
  • Ability to direct and motivate work efforts of others and handle stressful situations
  • Ability to self-manage project assignments from start to finish with minimal oversight
  • Collaborative and professional work ethic
