About the Role

The Marketing Pursuits Manager is responsible for managing, directing, and overseeing the end-to-end proposal process, from initial RFPs to final submissions. This role collaborates with cross-functional teams to create compelling proposals, crafts impactful content, and acts as a client interview specialist. As experience grows, the manager will navigate higher-stakes projects, lead larger pursuits, and mentor junior marketing staff.

Responsibilities

  • Shape proposal and pursuit strategy development, understanding the competitive landscape and informing strategies.
  • Identify opportunities for pre-positioning and suggest areas where Strategic Communications can support the company's perception.
  • Participate in go/no-go decision-making processes.
  • Participate in capture planning to develop comprehensive plans that address client requirements and differentiate the firm.
  • Lead the creation, coordination, and delivery of proposal submissions for potential projects of increasing priority and complexity.
  • Develop winning strategies for each proposal, including pre-positioning, capture planning, key selling points, and differentiation factors.
  • Lead the proposal development process, establishing timelines, setting deadlines for contributors, and ensuring timely completion.
  • Lead all pursuit meetings, including strategy, kick-off, color reviews, client debrief, and internal postmortem.
  • Facilitate and coordinate input from various stakeholders to gather relevant information and ensure compliance.
  • Manage the gathering of cross-functional requirements, utilizing centralized asset databases and engaging partners as needed.
  • Conduct research to understand client needs, preferences, and project requirements.
  • Author and edit proposal content to be clear, compelling, and tailored to the specific project and client.
  • Utilize branded templates to create visually appealing proposal documents and graphics, collaborating with graphic designers.
  • Review all proposal drafts for accuracy, consistency, compliance, clarity, coherence, grammar, punctuation, and overall language mechanics.
  • Manage the production of final proposal documents, including printing, binding, and packaging.
  • Facilitate and lead post-mortem reviews to assess the proposal development process and identify lessons learned.
  • Lead the creation and coordination of interviews/presentations for potential projects.
  • Manage the pursuit team to develop presentation content that effectively communicates qualifications, approach, and value proposition.
  • Ensure alignment on key messages, roles, and responsibilities for the presentation team.
  • Craft key messages and talking points that resonate with the client's objectives.
  • Utilize branded templates to create visually engaging presentation materials.
  • Organize and lead rehearsal sessions, providing coaching on delivery, timing, and handling questions.
  • Manage logistical aspects of the presentation, including scheduling and technology setup.
  • Lead the anticipation of potential client questions and prepare strategic responses.
  • Incorporate feedback from internal rehearsals to improve presentation content, design, and delivery.
  • Prepare supporting documentation, such as handouts or leave-behind materials.
  • Ensure follow-up with the client after the presentation to address remaining questions or concerns.
  • Conduct post-mortem reviews to assess presentation strategy and identify lessons learned.
  • Lead the development of strategic marketing collateral, including brochures, pitch presentations, and case studies.
  • Lead the design and production of marketing materials or coordinate with external vendors/internal resources.
  • Ensure branding consistency across all marketing materials and communications.
  • Establish schedules and track project progress, ensuring timely completion.
  • Develop proposal/presentation plans and timelines in collaboration with team members and stakeholders.
  • Assign tasks, set priorities, and manage/monitor deadlines for smooth project execution.
  • Communicate project status updates, risks, and issues to stakeholders and management.
  • Conduct post-project reviews to evaluate performance and identify improvements.
  • Ensure all marketing materials meet company quality standards.
  • Review content for accuracy, completeness, and relevance to target audience and company capabilities.
  • Collect feedback, analyze performance metrics, and identify areas for improvement in marketing materials and processes.
  • Actively collect, update, and maintain relevant data during pursuit activities, adhering to proposal close-out processes.
  • Contribute to the continuous maintenance and accuracy of opportunity data in the company's CRM.
  • Conduct regular data audits to verify accuracy, completeness, and consistency.
  • Utilize Unanet CRM to generate reports and develop insights to inform proposal strategies or support go/no-go decisions.
  • Foster a collaborative and supportive work environment within the marketing team and across the organization.
  • Cultivate and maintain positive relationships with team members, interdepartmental partners, and internal clients/stakeholders.
  • Provide guidance, mentorship, and support to junior marketing staff.
  • Directly manage and supervise Marketing Pursuits Associates or Specialists, as applicable.
  • Promote the importance of and contribute to the maintenance of data within the company's client relationship management (CRM) platform.

Requirements

  • Bachelor's degree in marketing, communications, English, business/professional writing, journalism, or a related field.
  • 5 to 10 years of relevant experience.
  • Strong project management capabilities.
  • Ability to manage multiple projects simultaneously, prioritize tasks, meet deadlines, and work effectively under pressure in a fast-paced environment.
  • Meticulous attention to detail to ensure accuracy and consistency in marketing materials, proposals, and client communications.
  • Excellent writing and editing skills to create compelling content for proposals, adhering to brand voice and style guidelines.
  • Displays excellence in persuasive writing, grammar, punctuation, sentence structure, and editing; writing is consistently free of punctuation or grammatical errors.
  • An understanding of branding principles.
  • Familiarity with brand and style guidelines and the ability to maintain brand consistency across various deliverables.
  • Proficiency in Adobe Creative Suite (primarily InDesign) and Microsoft Office Suite (primarily PowerPoint) to create visually appealing marketing materials, presentations, and proposals utilizing branded templates.
  • Strong interpersonal and communication skills, both written and verbal, to effectively collaborate with internal teams, clients, vendors, and other stakeholders.
  • Previous experience in, or familiarity with, the AEC industry, including an understanding of architectural design, engineering principles, construction processes, and industry trends, is highly beneficial and strongly preferred.
  • Experience with customer relationship management (CRM) systems, a plus.
  • Ability to work collaboratively as part of a marketing team, as well as independently with minimal supervision, demonstrating flexibility, adaptability, and a positive attitude.
  • Strong problem-solving skills to address process challenges, overcome obstacles, and find creative solutions.
