About the Role
This role provides administrative support to the project manager, project architect, and project team.
Responsibilities
- Assist with tracking progress under the direction of the project manager.
- Collaborate with various staff and departments in administering day-to-day projects and reporting requirements.
- Manage project filing systems, both electronic and paper.
- Serve as a contact for file, document, and drawing transfers with external consultants and clients, managing distribution to the team.
- Schedule and coordinate all project meetings under the direction of the project manager.
- Assist the project accountant with invoicing and/or joint venture fee splits.
- Track the process for obtaining fully executed consultant agreements, potentially processing comments and obtaining legal department sign-off.
- Track required MBE, WBE, and DBE consultant involvement on public projects and provide timely reports.
- Establish files and procedures for annual audits by public agencies.
- Attend client meetings to take and distribute meeting minutes.
- Draft letters to clients and perform word processing and data entry.
- Perform office manager duties when the project is located at a job site, including supervising support staff, stocking supplies, maintaining equipment, overseeing facility needs, and interfacing with vendors and landlords.
- Perform receptionist duties when the project is located at a job site.
- Take personal responsibility for fostering a green workplace through sustainable work practices.
Requirements
- Some travel may be required.
- Some overtime may be required.
- Job duties and requirements may be altered or supplemented at any time at the sole discretion of HOK.

- $75,000 to $90,000
- Other compensation may include a discretionary bonus.
