Responsibilities
- Provide people leadership to US Corporate and Investment Banking administrative staff.
- Serve as a singular point of contact for senior members of the US Corporate and Investment Banking Team in New York.
- Ensure the delivery of high-quality, proactive, and seamless executive support.
- Drive consistency, efficiency, and service excellence across the team.
- Lead, coach, and develop Executive Assistants supporting senior leaders.
- Establish clear expectations, priorities, and service standards for executive support.
- Provide guidance, direction, and day-to-day support to team members managing complex executive priorities.
- Support hiring, onboarding, training, and ongoing development of Executive Assistants.
- Foster a collaborative, accountable, and high-performing team environment.
- Manage team capacity, workload distribution, and coverage planning.
- Oversee executive support activities including calendar management, meeting coordination, conference calls, travel arrangements, expense tracking, and correspondence.
- Ensure Executive Assistants apply sound judgment, discretion, and diplomacy.
- Partner with senior executives to understand support needs and align resources.
- Promote professionalism and responsiveness in all interactions.
- Organize Managing Directors using independent judgment, discretion, and diplomacy.
- Coordinate and prioritize daily activities, identifying potential problems and shifting priorities.
- Coordinate schedules, meetings, conference calls, and appointments.
- Manage heavy travel schedules and reservations.
- Participate in department event planning, including catering, attendee lists, vendor selection, and order completion within budget.
- Manage equipment and office supplies, including Service Now requests, equipment repairs, stationery orders, business cards, and facilities issues.
- Maintain tracking of all expenses and invoices.
- Compose routine correspondence and prepare/route incoming and outgoing correspondence.
- Liaise with assistants from multiple teams across the firm.
- Assist with ad hoc projects.
- Provide daily technology support and maintenance of printers, scanners, photo copiers, telephones, mobile devices, and computers.
- Investigate ad hoc system/software problems.
- Prepare, submit, track, and escalate Service Now requests for technology issues.
- Liaise and troubleshoot with technology support groups for urgent matters.
- Use sound judgment to ensure correct solutions are identified and implemented.
- Disseminate technology information to department personnel.
- Track and manage inventory of all department hardware and software.
- Work with external vendors, suppliers, and technical support.
- Act as a resource to department users and coordinate training on new equipment.
- Maintain current knowledge of hardware, software applications, and corresponding policies.
- Build and maintain strong relationships with managers, Executive Assistants, and business partners.
- Coordinate effectively with outside vendors.
- Serve as a trusted partner in supporting the effectiveness of the executive support function.
- Comply with all applicable CIBC and Line of Business policies, standards, guidelines, and controls.
Requirements
- A minimum of 15+ years of Administrative experience in a corporate environment.
- Good interpersonal and customer relationship management skills to deal effectively with a range of people at all levels.
- Ability to handle multiple tasks within a very fast-paced financial services company.
- Proficient in Microsoft Word, Excel and PowerPoint.
- Excellent organizational skills.
- Strong communication skills, both written and oral, requiring tact, diplomacy, and discretion, as well as the ability to maintain confidentiality.
- Strong attention to detail.
- Highly motivated self-starter, able to work independently with minimum direction and identify solutions to problems.
- Strong technical skills to support maintenance of office equipment.
- Ability to exercise good judgment to resolve a wide variety of issues and problems.
- Ability to manage multiple priorities.
