About the Role

Hightower Westchester is seeking a Director of Operations and Client Service to support a seasoned team and provide a quality client experience. This strategic role integrates operational efficiency and client service to support long-term growth and sustainability.

Responsibilities

  • Complete operational tasks, activities, and workflows including account services and transaction processing in a timely, consistent, and accurate manner.
  • Field client requests and complete tasks, ensuring client needs are met while adhering to compliance standards.
  • Manage and follow prospect and client timelines to ensure the prospect and client experience is performed as designed.
  • Process account openings, obtain account information, and complete service requests with the custodian (Fidelity).
  • Open and update separately managed accounts.
  • Prepare subscription documents for alternative investments.
  • Document and update contact information, status updates, and other important information within the CRM database (Salesforce).
  • Serve as the first point of contact for clients and visitors in the office and by phone, demonstrating high levels of meaningful engagement.
  • Schedule meetings and travel.
  • Perform light office management duties, including using Concur for expense management, resolving vendor and IT issues, and ordering office supplies.
  • Support multiple roles to learn different functions within the practice.
  • Assist Marketing with client events and client gifts.
  • Assist the team in operational, administrative, and marketing functions.

Requirements

  • Team player and a “client first” attitude.
  • Strong Microsoft Office and Outlook competency with an emphasis on Excel.
  • Salesforce experience is a plus.
  • Process-driven tasking and follow-up skills.
  • Excellent client-facing skills.
  • Strong written and verbal communication skills.
  • Ability to accomplish a variety of tasks in a detailed, efficient, and organized manner.
  • 3 or more years of experience with Financial Service and/or Client Service.
  • Series 65 license required (must be achieved within 6 months of hire). Other licenses may be required over time.
  • Must be a U.S. citizen, U.S. permanent resident, or have other unrestricted U.S. work authorization and will not require sponsorship for U.S. work authorization now or anytime in the future.

Salary/Compensations

  • $85,000-$95,000
