About the Role
We are seeking an experienced Lease Administrator to support our Real Estate and Facilities Maintenance (FM) team to manage all pertinent lease information, reviewing documents, and ensuring compliance. The ideal candidate will manage new store lease activations, lease renewals, lease interpretation, and legal notices while collaborating with internal teams and external partners. This role offers the opportunity to build expertise in corporate real estate portfolio management and contribute to a growing retail portfolio.
Responsibilities
- Maintains and updates all lease related information in the Lease Management platform for a portfolio of pharmacy and office locations, ensuring accuracy.
- Works with Accounts Payable (A/P) for accurate set-up and timely payment of rent, CAM, and Realty Tax expenses.
- Works with Accounts Receivable (A/R) for the tracking of all subtenant payments.
- Tracks Y/E reconciliations, ensuring all files are up to date, making recommendations of files to audit, and tracking any savings.
- Provides support to business partners requiring lease information and interpretation, including identifying repair, maintenance, and replacement obligations of both landlord and tenant, and providing detailed rental payment information for budgetary purposes.
- Sets up new lease information for acquisitions, including creating new vendors, setting up new rents, and obtaining estimates for additional rent amounts.
- Assists in the drafting of lease amending agreements, estoppel certificates, surrender agreements, and other documents.
- Provides input and support for lease management platform updates to ensure accurate migration of lease records.
- Supports special Lease Administration Projects as required.
- Performs other duties as assigned.
Requirements
- 3-7 years of experience with lease documentation and other related legal agreements.
- Post-Secondary Education in a related field (e.g., Real Estate, Business, Accounting, Law) or equivalent industry experience.
- Strong lease interpretation skills to ensure any disputes are resolved in a timely manner.
- Experience in understanding CAM and Realty Tax charges to determine proper recoveries and tenant expense allocation.
- A good understanding of general ledgers, debits, and credits.
- Skilled in prioritizing tasks and meeting tight deadlines in a fast-paced setting.
- Highly organized with excellent time management skills.
- Good computer skills including Microsoft Word, Excel, PowerPoint, and Outlook.
- Familiarity with lease management platforms such as Lucernex, Yardi, Tango, and Leasecake.
- Candidates must be legally eligible to work in Canada.
