About the Role
The eBilling Administrator supports the Matter Life Cycle (MLC) Business Operations mission by providing administrative and operational support to the eBilling team and ensuring the accurate setup, maintenance, and execution of eBilling requirements across client portfolios.
Responsibilities
- Support client onboarding by completing required client questionnaires and administrative setup documentation.
- Set up new eBilling clients and matters, ensuring compliance with client billing guidelines and firm requirements.
- Manage matter onboarding activities in Intapp Matter Open, including data validation, client ID entry, and completion of “ready to bill” requirements.
- Coordinate communications with Practice Assistants and eBilling Coordinators to support timely matter activation within client billing platforms.
- Arrange and maintain access for eBilling team members to client eBilling systems.
- Monitor the BLG eBilling mailbox and respond to inquiries, route notifications to stakeholders, and distribute accrual notifications to eBillers.
- Submit Chrome River invoice submissions for client platform fees and related administrative items.
- Provide backup support to Ebilling Coordinators when required to maintain service continuity.
- Provide general administrative support to eBilling Coordinators and support the overall efficiency of the team.
Requirements
- Post secondary diploma.
- Legal Administrative Assistant certificate preferred.
- 1 year in an administrative role with related experience in an office setting.
- Working knowledge of client eBilling platforms and Elite eHub (e.g., Collaborati, Legal Tracker, CounselLink), including basic navigation, invoice submission support, and responding to platform notifications.
- Foundational understanding of CMS/Aderant, including navigating matter data and supporting basic reporting or data validation needs.
- Proficiency in Microsoft 365 (O365) tools (Teams, Outlook, Word, PowerPoint) to support communication, documentation, and coordination across stakeholders.
- Developing capability and interest in Microsoft Copilot and AI tools, with a continuous learning mindset to improve productivity and service delivery.
- Basic to intermediate Excel skills, including filtering, formatting, formulas.
