About the Role

DR. VIVIEN KARL is a fast-growing Berlin startup redefining the female intimate care market with natural, science-based, and aesthetic products. We are looking for support for our Finance team. Your work will ensure our financial processes run reliably and that important business decisions can be made on a clean data basis.

Responsibilities

• Review and process incoming invoices, identify incorrect invoices, reject them, and request corrected documents from suppliers, ensuring payment deadlines are met.
• Be responsible for preparatory accounts payable and accounts receivable accounting (SKR04), working closely with our tax office.
• Participate in monthly and annual financial statements and prepare our monthly reporting, including how accounting flows into our company key figures.
• Regularly coordinate with the team on promotions, new products, new marketplaces and warehouse locations, inventory levels and stocktaking, as well as out-of-stock situations, down payments, and their deliveries.
• Work with our accounting interfaces: understand which data can be exported from Shopify and Amazon, what it means, and how it gets into accounting via mapping systems (e.g., Pathway).
• Create travel expense reports, manage our expense management via Spendesk, and support with other administrative finance topics.
• Respond reliably to inquiries and feedback, independently follow up on missing or incorrect information, and contribute your own ideas to continuously question and improve existing processes.

Requirements

• Completed university degree or completed vocational training in Business Administration, Finance, Accounting, or a comparable qualification – ideally with initial professional experience in accounting.
• Sound knowledge of proper invoices and confident handling of booking keys and accounting systems, especially according to SKR04.
• Practical experience with DATEV Unternehmen online; knowledge of Spendesk and accounting interfaces is a plus.
• Interest in e-commerce technology and interfaces: You want to understand how data is generated, exported, and processed from Shopify and Amazon.
• Fundamental understanding of reporting and how accounting influences it.
• Affinity for numbers as well as a structured, careful, and reliable way of working – combined with initiative and joy in taking responsibility.
• Openness to new things and changes, as well as the willingness to critically question processes.
• Confident handling of Excel or Google Sheets.
• Very good German language skills, both written and spoken.
