About the Role

The Project Manager (Print Retail) is a primary day-to-day contact with clients’ Marketing Communication teams, supporting the implementation of campaigns with retail partners in Japan. This role requires building strong client and internal relationships, managing expectations, and ensuring brand guidelines and contractual obligations are met.

Responsibilities

  • Build strong client relationships to understand retail partner structure and print vendors.
  • Serve as the primary contact for Retail Marketing asset localization and production.
  • Develop strong internal relationships across agency departments including Traffic, Content, Interactive, Studio, Print Production, Finance, and Operations.
  • Attend status meetings and video conferences regularly.
  • Update daily trackers during live projects, shared with clients and Deployment.
  • Manage client service basics, including creating and updating agendas, timing plans, contact reports, and cost estimates.
  • Demonstrate project delivery expertise by managing client expectations, internal processes, and department involvement.
  • Communicate briefs to studio and print production teams, ensuring correct creative direction.
  • Immerse yourself in the client’s brand and offering.
  • Set and manage client expectations, ensuring adherence to agreed workflows.
  • Build strong, trusting relationships with key stakeholders, function leads, cross-functional producers, senior managers, and third-party vendors.
  • Manage the approval of quarterly budgets, flagging significant fluctuations to the client and line manager.
  • Prepare and present documents, presentations, and reports.
  • Keep the line manager informed of all client issues and proposed solutions, including potential delays, for swift resolution.
  • Ensure the account consistently meets all contractual obligations, including SLAs and KPIs.
  • Act as a brand Quality Control/Guardian, ensuring brand guidelines, QC checklists, and procedures are followed.
  • Ensure the best external talent (freelancers, translators, proofreaders, copywriters, planners) is utilized, liaising with relevant department heads.
  • Demonstrate a thorough understanding of the WPP/Hogarth business model, services, and technology.
  • Organize teamwork, create balanced work schedules, and ensure delivery of results.

Requirements

  • A minimum of 5 years of solid advertising agency experience, preferably gained working on global retail and/or shopper accounts, from creative development to final production.
  • Experience in financial management and understanding the importance of accurate financial management.
  • Excellent spreadsheet skills in both Excel and Numbers, with demonstrated experience in managing complex spreadsheets.
  • Excellent written and verbal communication skills in Japanese.
  • Attention to detail, analytical thinking ability, and passion for the work are essential.
  • A hands-on, can-do approach to solving problems.
  • Ability to prioritize and work quickly and efficiently within very tight time frames.
