Responsibilities
- Prepare and support CM transactions.
- Collaborate, coordinate, and support local teams in all back-office processes within transaction flows.
- Independently create project opportunities in Salesforce according to internal guidelines and process steps (e.g., KYC, AML, Project ID, Contract ID, Client ID, property data).
- Coordinate internal kick-off meetings for marketing launch.
- Obtain transaction documents from deal captains and clients.
- Create templates for client letters and reminders.
- Send market outreach via a mailing tool.
- Maintain the Investor Center (internal data room with initial transaction information).
- Coordinate the NDA process, including owner communication for mark-ups.
- Maintain client responses in reporting.
- Independently obtain and follow up on authority information nationwide.
- Create regular reports based on Capforce.
- Create marketing advertisements on ImmoScout24.
- Manage projects and systems (Capforce).
- Initiate and coordinate KYC/AML requests with Compliance (Shared Service Center).
- Manage Contract IDs, AVAs, and exclusivity agreements.
- Create and maintain the CRM system.
- Review and update project status (stages).
Requirements
- Completed vocational training, ideally in real estate or banking, or a completed degree, preferably with a real estate focus.
- Several years of professional experience in an assistant role within the real estate industry.
- Understanding of real estate transactions, ideally in investment, and associated processes.
- Interest in and openness to the use of Artificial Intelligence.
- Proficient in MS Office applications.
- Confident handling of CRM systems (argo.web, Salesforce, or similar).
- Strong hands-on mentality, confident demeanor, teamwork, and enjoyment of a flexible and dynamic environment.
- Very good written and spoken German and English skills.
