About the Role

CobbFendley is seeking an experienced SUE Project Coordinator in our Austin office to support Supervisors and Project Managers in various project coordination tasks.

Responsibilities

  • Setup and close out all assigned projects in adherence with Company guidelines.
  • Assist Project Manager with the weekly review of time charged to projects and coordinate with the project team to correct issues.
  • Assist Project Manager with invoicing and accounts receivable (AR), including invoice review, receipt and review of subconsultant invoices, submission, collections, and reporting on unbilled or outstanding accounts.
  • Assist Project Manager to develop and maintain spreadsheets for budget and schedule tracking, including weekly report documentation.
  • Monitor and escalate concerns related to the financial aspects of projects to ensure healthy project financials and meet established Company goals.
  • Assist Project Manager with facilitating new and existing client and subconsultant contracts, including scope and fee modifications (Change Orders).
  • Provide document control support for effective and accurate project document management.
  • Prepare and file various project-related documents, reports, and estimates.
  • Attend meetings and/or coordination efforts with internal or external clients as requested.
  • Coordinate with various utility owners, municipalities, subcontractors, and team members throughout the project.
  • Assist project team to identify various jurisdictions permitting processes, prepare and submit applications, track and manage permit status and approvals, and identify and escalate permitting issues.
  • Assist with ASCE 38-22 and ASCE 75-22 standards to SUE project workflows and deliverables.
  • Support Quality Level A–D SUE investigations, applying appropriate methodology per project scope.
  • Assist in utility records research, including 811 locate request submission and tracking.
  • Assist plan sets; reconcile discrepancies between records, field data, and existing conditions.
  • Coordinate scheduling and logistics for SUE support vendors and subcontractors.
  • Learn SUE field equipment to support field crews.
  • Learn the utility design process to coordinate between SUE findings and design teams.
  • Assist with tracking local/jurisdictional permitting and right-of-way regulations affecting SUE activities.

Requirements

  • 1+ years of professional experience within the AEC industry.
  • 1 year of experience under the tutelage of a Project Coordinator I+.
  • Knowledge of general project management methodologies and lifecycle.
  • Knowledge of industry standards, city, state, and federal rules and regulations.
  • Knowledge of tools and software (i.e., Microsoft suite, Vantagepoint, Smartsheet, Google Earth, Adobe and/or Bluebeam etc.).
  • Knowledge of quality management.
  • Skills of initiative, communication, time management including strict deadlines, organization, ability to juggle competing priorities, attention to detail and problem-solving.
  • Ability to think strategically, adapt to competing priorities, execute and delegate, communicate and collaborate, and perform tasks with a high level of accuracy.
