About the Role

The Program Assistant provides administrative support to the Program Director, management team, and shelter staff to ensure the efficient operation of the facility.

Responsibilities

  • Perform administrative tasks including monitoring records for required documentation, collecting client documents, and filing records.
  • Greet and log clients and visitors, directing them to the appropriate party.
  • Assist with program-related clerical duties such as payroll information, scheduling, and report generation.
  • Adhere to agency and funding source guidelines and protocols, including HIPAA and Confidentiality.
  • Undertake other tasks as assigned by the Director.

Requirements

  • Bi-lingual in Mandarin or Spanish is preferred.
  • Minimum of three years of experience as an Administrative Assistant, preferably supporting abused families or women with special needs.
  • Experience with data entry.
  • Excellent interpersonal and communication skills.
  • Organized and detail-oriented.
  • Ability to work independently, take initiative, and function effectively as a team member.
  • Demonstrated sensitivity and experience with or knowledge of homeless families, including individuals who identify as LGBTQ+, HIV-affected, the elderly, and individuals with substance abuse and/or mental health issues.
  • Familiarity with DHS regulations is a plus but not required.
  • Proficient in computer use, including Microsoft Office applications.
  • Ability to read printed and handwritten materials.
  • Ability to use computer mouse and keyboard.
  • Ability to read information on a computer screen.
  • Ability to sit for extended periods.
  • Ability to enter information into digital forms and spreadsheets.
  • Ability to occasionally lift 10 pounds, reach, and bend.
