About the Role

The Receptionist/Office Manager oversees the flow of clients and visitors at our main service hub, ensuring efficient connection to staff and resources. This fast-paced role requires multitasking, attention to detail, and the ability to de-escalate volatile situations.

Responsibilities

  • Greet visitors, assess needs, assign to wait stations, and coordinate with staff for support.
  • Provide information and referrals, and track wait times and room capacity.
  • Notify staff of arriving appointments and communicate immediate needs between teams.
  • Maintain a clean and safe drop-in/waiting area, including opening and closing procedures.
  • Monitor outside and waiting areas for disruptive situations, de-escalate, and alert management as needed.
  • Ensure parents supervise children appropriately in waiting areas and maintain clear walkways.
  • Check and forward voicemail messages to appropriate staff.
  • Serve as primary contact for the SF Food Bank, including purchasing and receiving deliveries.
  • Coordinate and receive diaper deliveries for the Help a Mother Our Diaper Bank.
  • Receive, sort, and distribute mail for staff and clients; coordinate outgoing mail.
  • Coordinate with the Development team for volunteer needs and train/supervise volunteers.
  • Attend team meetings, staff trainings, and clinical consultations.
  • Manage inventory of office and basic needs supplies, and place weekly orders.
  • Liaise with building management for maintenance issues.

Requirements

  • Fluent English and Spanish required.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize.
  • Strong de-escalation skills and professional experience in assessing and de-escalating volatile situations.
  • Understanding of issues affecting homeless families; work or volunteer experience with homeless populations preferred.
  • Ability to interact positively and constructively with diverse populations.
  • Outstanding work habits: punctual, reliable, cooperative, and team-oriented.
  • Strong computer skills, proficient in Microsoft Suite (Outlook, Word, Excel, PowerPoint).
  • Demonstrated commitment to diversity, equity, inclusion, and belonging work.
  • Able to lift at least 25 pounds for handling deliveries.

Salary/Compensations

  • $30 - $34 per hour
