About the Role

Responsible for handling and dispatching all mail, packages, and interoffice correspondence. May also involve copy center activities, reception, hospitality, and other assigned duties.

Responsibilities

  • Ensure total customer satisfaction through understanding customer expectations, proactive problem identification/resolution, and relationship building.
  • Receive, sort, and deliver all incoming mail and packages within established time frames.
  • Wrap, seal, weigh, affix postage, and dispatch all outgoing mail/packages according to postal regulations.
  • Prepare and process outgoing overnight items (e.g., Federal Express, UPS) to meet deadlines.
  • Log and deliver incoming overnight packages within established time frames.
  • Log outgoing and incoming items, reviewing for accuracy and completeness.
  • Organize and distribute supplies to employees, verifying and logging orders upon delivery.
  • Monitor inventory of copy supplies, stock paper, and toner, maintaining a neat supply area.
  • Handle items for distribution to employees, affiliates, and dealers.
  • Estimate runtime for photocopy jobs, check copies for quality and accuracy, and produce bound copies when requested.
  • Perform minor maintenance on photocopy machines, including solving paper jams, placing service calls, and routine cleanings.
  • Operate facsimile machines, sending and receiving faxes, and maintaining accurate logs.
  • Input facsimile data into the computer for client charge back where appropriate.
  • Generate activity and confirmation reports for facsimiles.
  • Prepare monthly production and volume reports for productivity measurement and billing.
  • Perform administrative duties such as inserting, copying, photocopying, and faxing.
  • Set up and maintain kitchen areas and conference rooms, order food, and make coffee.
  • Provide reception work, including answering telephones, taking messages, and greeting visitors.
  • Move boxes, supplies, or furniture, and replace light bulbs.
  • Perform document scanning.
  • Prepare outgoing items for shipping.
  • Learn new features and functionalities of copying machines, faxes, scanning, and shipping equipment.
  • Perform additional duties as assigned.

Requirements

  • High school diploma or equivalent.
  • 2-5 years of experience in a mailroom or professional office environment.
  • Knowledge of metering, weighting, logging, and other shipping procedures.
  • Proficiency in computer skills preferred.
  • Ability to perform routine and complex functions of various equipment and systems (fax, scanner, metering, stamping, tracking systems, photocopying, color copying, etc.).
  • Excellent customer service, professional attitude, and appearance.
  • Ability to work overtime and meet deadlines.
  • Requires regular twisting, turning, squatting, bending, reaching, lifting, and prolonged periods of sitting, standing, or walking.
  • May regularly lift and carry up to 20 lbs and move over 50 lbs (e.g., push mail cart).
  • May occasionally lift up to 50 lbs.
  • Frequent use of hand and foot controls.
  • May occasionally need to climb stairs.
