About the Role
The Residence Operations Coordinator ensures that residence operational standards are upheld, including cleaning, pest control, and access control, by providing functional guidance to the Residence Operations team. This role involves monitoring contractor performance, coordinating activities with various campus departments, and supporting the overall efficiency of residence operations.
Responsibilities
- Conduct daily inspections and monitor cleaning to ensure standards are maintained.
- Coordinate work assignments and cleaning schedules for the operations team.
- Facilitate student staff recruitment, hiring, and training.
- Schedule and coordinate student staff according to operational needs.
- Monitor performance of cleaning contractor against tender specifications and report issues.
- Conduct monthly meetings for ongoing training, issue resolution, and staff feedback.
- Coach and provide regular functional guidance to staff on operations procedures.
- Refer performance concerns regarding operations to the Manager, Residence Operations.
- Coordinate and deliver hotel-style housekeeping and linen services during conference season.
- Plan for special projects such as move-in/move-out, open houses, and special events.
- Seek recommendations and obtain pricing proposals for housekeeping products and equipment.
- Complete the requisitioning process for supplies.
- Develop, implement, and document efficient cleaning techniques.
- Regularly review and update Residence Operations manuals.
- Monitor room inventory for repairs and replacements.
- Use and update residence building management software for service delivery and work orders.
- Communicate with various residence staff, including Coordinators and Managers.
- Oversee recycling and waste collection processes and report cleanliness concerns.
- Oversee the regular maintenance and operational efficiency of all housekeeping equipment.
- Maintain lounge, study, common kitchen, and cafeteria furniture for cleanliness and functionality.
- Coordinate all room inspections and compile damage charges.
- Obtain damage repair assessments and cost estimates.
- Collaborate with Residence Life on student-related damage issues.
- Ensure consistent documentation of common area damages.
- Maintain the building locks and access control system.
- Respond to work orders for minor maintenance duties.
- Follow up on elevator service calls and monitor usage issues.
- Maintain security equipment by collaborating with Public Safety.
- Coordinate preventative and reactive pest control treatment with approved company.
- Monitor laundry machines and contact service providers when machines are not operating.
- Perform basic troubleshooting for maintenance issues.
- Coordinate preventative maintenance and annual projects.
- Collaborate closely with Facilities Management to resolve maintenance issues.
Requirements
- Progressive experience in a housekeeping or maintenance department within a hotel, hospital, or post-secondary institution.
- Experience coordinating a team, for example, as a team lead.
