About the Role
The Operations Manager provides critical client and customer-facing support to the Property Management team, overseeing daily building operations and coordinating with service partners and occupiers. This role ensures operational excellence, supports Net Zero, Sustainability, and ESG targets, and embeds ESG and wellness into customer service for a best-in-class experience.
Responsibilities
- Ensure the day-to-day running of the property is carried out effectively and efficiently.
- Maintain high building standards in security, cleaning, repair, and presentation within budget.
- Instruct and manage repairs and maintenance with Senior Property Manager (SPM) agreement.
- Take responsibility for specific services and contracts as directed by the SPM.
- Assist the SPM in monitoring project works and discussing issues daily.
- Support the SPM in preparing the Annual service charge budget by completing relevant sections and detailing operational needs.
- Raise Purchase Orders and approve expenditure invoices using relevant systems.
- Keep the SPM fully informed of any building issues and provide regular updates.
- Assist the SPM with presenting occupier and sustainability meetings.
- Ensure building compliance by accommodating and conducting all required audits.
- Hold weekly service partner meetings with the SPM.
- Carry out ad-hoc projects with the SPM as required.
- Support the administrator and oversee welfare management in the absence of the SPM.
- Evaluate existing contractual relationships.
- Procure and manage maintenance agreements in conjunction with the Procurement Team.
- Establish effective service partner site teams.
- Ensure best value is achieved through the Savills KPI matrix and hold monthly contractor meetings.
- Conduct weekly inspections of all Landlord areas and report on service partner issues.
- Address any shortcomings in service delivery swiftly and report to the SPM.
- Establish and implement best practices for safe working environments.
- Ensure compliance with all client and Savills procedures, including health and safety, COSHH, and environmental matters.
- Ensure all Savills operational systems are compliant and tasks are completed on time.
- Ensure compliance with all statutory requirements and codes of practice.
- Record all accidents and near misses, and report on serious incidents.
- Seek best practice initiatives from across the business and industry.
- Adopt Savills core principles of service delivery within the day-to-day running of the building.
- Implement continuous service improvements through new initiatives, ideas, and technology.
- Champion Corporate Social Responsibility initiatives and drive this ethos through onsite teams.
- Work closely with service partners to meet client, statutory, and occupier requirements.
- Support the SPM in delivering key ESG targets and aspirations.
- Ensure procurement of supplies and services aligns with Savills sustainability policies and Green Charter.
- Deliver ESG goals in line with Savills policies and RISE Sustainability Standards.
- Support and obtain building certification (e.g., BREEAM-In-Use).
- Support client aspirations for Net Zero.
Requirements
- Prior experience in commercial property management.
- Prior experience in a customer-facing role.
- Experience in the supervision of teams and service partners.
- Ability to use full range of Microsoft applications including Word, Excel, PowerPoint, Outlook.
- Ability to use social media and various systems (such as Savills Dashboard and Occupier portal).
- Experience of direct liaison with customers, clients, local authorities, and other stakeholders.
