About the Role
The Client Administrator is accountable for daily communication with clients and case control, ensuring smooth, efficient, and correct service delivery within set turnaround times and with a focus on client satisfaction. This role involves managing client issues, introducing data into systems, checking report delivery, and organizing daily work to meet KPIs.
Responsibilities
- Manage daily communication with clients regarding issues and resolve them promptly.
- Track and report all incidents, requests, and issues for each client.
- Handle daily communication with clients in a polite, friendly, and customer-minded manner.
- Introduce incoming data into systems and verify correct delivery of outgoing reports.
- Prepare cases with essential clinical or patient information for efficient radiologist review.
- Organize daily work to accomplish agreed KPIs for hospitals.
- Flag potential task delays to the Lead.
- Inform CM/BU managers about client issues to facilitate planning reviews.
- Recognize and report inconsistencies, discrepancies, and errors.
- Manage requests to speak and incidents according to guidelines and within defined timelines.
- Handle ad-hoc tasks such as volume control and requesting logins.
- Inform clients about new radiologists.
- Provide basic training to radiologists in Client Admin-related tasks.
- Control cases throughout the workflow to ensure management within set TAT.
- Handle personal and patient data according to guidelines.
Requirements
- Used to teamwork.
- Ability to work with time constraints and handle sensitive situations tactfully.
- Ability to work efficiently and accurately.
- Willingness to handle client calls and complaints; service-minded.
- Ability to assist new employees in training.
- Experience with computer work, administrative tasks, and communication via email/phone.
- Ability to reorganize workload with short notice and take on ad hoc responsibilities.
- Good IT/Office knowledge, especially Excel.
- Experience from the service sector is a plus.
- Medical knowledge is a plus.
- Fluent in English for client management.
- Ability to come into the office approximately 1 shift per week.
