About the Role

The IT Service & Asset Manager (m/f/d) ensures the reliable, secure, and cost-effective delivery of IT services through effective vendor management, IT asset governance, and software lifecycle oversight. This role acts as the primary point of contact between the business and external IT service providers, managing the lifecycle of IT assets, software licenses, contracts, and vendor relationships to maintain operational efficiency, cost control, compliance, and a high-quality end-user IT experience.

Responsibilities

  • Own and manage relationships with external IT service providers.
  • Define service expectations, scope, and priorities in alignment with business needs.
  • Monitor service delivery, performance, and adherence to agreed SLAs and KPIs.
  • Oversee the organization’s IT infrastructure landscape, including cloud environments, data backup and recovery systems, network architecture, and website hosting.
  • Ensure alignment of IT services and infrastructure with overall IT architecture and operational standards.
  • Act as the central coordination point for all IT-related requests and activities.
  • Own and manage the IT workplace ecosystem, ensuring a seamless end-user experience.
  • Manage the full IT asset lifecycle, including procurement, deployment, maintenance, and disposal.
  • Oversee end-user hardware, including laptops, mobile devices, and peripheral equipment.
  • Coordinate device-related onboarding and offboarding processes for employees.
  • Ensure standardization, cost efficiency, and user satisfaction across the workplace environment.
  • Own, maintain, and enforce the Acceptable Use Policy (AUP).
  • Own and maintain a centralized and accurate hardware and software asset register.
  • Ensure transparency of asset inventory, ownership, allocation, lifecycle status, and associated costs.
  • Establish and maintain standards for asset tracking, documentation, and governance.
  • Align asset data with financial tracking, procurement records, and operational usage.
  • Own and manage software procurement processes and policies.
  • Ensure software acquisitions follow standardized workflows and approval processes.
  • Oversee software lifecycle and license management, including allocation, tracking, usage monitoring, optimization, renewal, and termination.
  • Ensure software usage aligns with internal governance and compliance requirements.
  • Continuously review the software portfolio to identify cost optimization opportunities and eliminate redundant or unused licenses.
  • Ensure IT assets, software, and infrastructure are operated in accordance with applicable governance frameworks and organizational policies.
  • Coordinate required reviews related to data protection, cybersecurity, and IT security requirements.
  • Collaborate with the Data Protection Officer (DPO) and Information Security Officer to ensure effective implementation of security and compliance requirements.
  • Support audit readiness through accurate documentation and operational evidence.
  • Manage IT vendors, contracts, and service agreements throughout their lifecycle.
  • Drive IT cost transparency and optimization, including budget planning, tracking, and identification of cost-saving opportunities.
  • Ensure efficient utilization of software licenses, IT assets, and infrastructure resources.
  • Provide operational visibility and reporting on IT assets, services, vendors, and associated costs.

Requirements

  • Strong experience in IT operations, IT service management, and vendor management, with a focus on coordinating and managing external service providers.
  • Proven track record in working with external IT partners or managed service providers, ensuring service quality, accountability, and alignment with business requirements.
  • Solid understanding of IT service landscapes, including workplace technologies (e.g. Microsoft 365), cloud services, and typical enterprise IT environments.
  • Ability to translate business needs into structured service requests and ensure effective follow-up and delivery by external providers.
  • Experience in managing IT assets, software licenses, and subscriptions, including lifecycle tracking, usage optimisation, and cost control.
  • Practical experience in IT budgeting and cost management, including tracking IT spend, understanding cost drivers, and identifying optimisation opportunities across services, licenses, and contracts.
  • Strong understanding of vendor and contract management, including service agreements, renewals, and performance monitoring.
  • Experience in establishing structured processes and ensuring transparency across IT services, assets, and vendors.
  • Ability to evaluate IT services and provider deliverables from a functional and business perspective.
  • Experience in coordinating IT-related topics across multiple stakeholders, ensuring prioritisation, clarity, and timely resolution.
  • Working knowledge of data protection (GDPR) and information security principles.
  • Experience in maintaining clear, audit-ready documentation for IT assets, licenses, vendors, and service processes.
  • Strong focus on cost awareness and continuous optimisation of IT services, tools, and contracts.
  • Ability to create structured documentation and user guidance to support consistent and compliant use of IT services.
  • Excellent communication skills, with the ability to act as a bridge between business stakeholders and external IT providers.
