About the Role

As a Facilities Officer reporting to the Facilities Manager, you will be responsible for operational excellence, managing incident response and vendor oversight across rotating shifts. You will serve as the critical first responder to alarms and incidents, ensuring client mission-critical environments remain operational and secure. This position combines technical facilities knowledge with administrative security functions, including access control and visitor coordination. This role offers hands-on experience across facilities and security disciplines.

Responsibilities

  • Act as first responder to alarms, incidents, and emergencies on site; conduct investigations, manage escalation protocols, and provide emergency support with site attendance as required.
  • Respond promptly to security breaches, accidents, or operational issues.
  • Provide frontline support to Senior Facilities Managers and Engineers by supervising vendors attending site for preventative and reactive maintenance on critical infrastructure.
  • Ensure all vendor work meets client standards and documented procedures.
  • Oversee compliance with client policies.
  • Manage access control systems by liaising with regional security teams to program access cards, issue temporary passes to visitors and staff, and apply necessary access permissions after receiving departmental approvals.
  • Maintain visitor logs to prevent unauthorized entry.
  • Conduct regular site inspections and patrols during and after hours to ensure building procedures align with agreed processes.
  • Proactively identify risks or maintenance opportunities.
  • Work closely with client IT departments to maintain compliant critical environments.
  • Support the Facilities Management team with administrative functions including raising work orders, processing invoices, assisting with financial management tasks, preparing monthly FM reports and incident documentation.
  • Manage stock control for lighting and key supplies.

Requirements

  • Prior experience in facilities management, property management, security operations, or a related field demonstrating practical knowledge of operational environments and understanding of basic technical aspects of property infrastructure.
  • Proven ability to work under pressure with limited supervision while managing multiple complex issues concurrently, prioritizing tasks effectively, and responding promptly to incidents and emergencies.
  • Strong customer service orientation with excellent communication skills and the ability to interact professionally with a wide range of client staff, including senior levels, while managing conflict and balancing client and firm requirements.
  • Sound computer skills including proficiency with the Microsoft suite of products and comfort learning access control and facilities management systems.
  • Flexibility to work on a rotational shift roster covering 24-hour operations, seven days a week, including morning, afternoon, and night shifts.
  • Commitment to flawless execution and compliance with health and safety regulations.
