Responsibilities

  • Proactively develop and manage relationships with Landlords, Sub-Tenants, and Clients to exceed service delivery expectations.
  • Serve as the primary point of contact for all Landlord and Sub-Tenant communications, including proactive engagement for preventative maintenance, capital works, Landlord consents, and lease obligations.
  • Manage Landlord activities during emergency situations.
  • Monitor and manage landlord responsibility work orders, ensuring completion within 30 days unless part of an approved strategy.
  • Ensure compliance with all relevant legislation, occupational health and safety, environment, and risk management policies through Facilities Managers.
  • Manage Landlord and Sub-Tenant obligations as per lease terms.
  • Support make-good processes and lease termination commitments, facilitating onsite hand-back with Landlords.
  • Liaise with the Lease Administration team to ensure accurate and timely reflection of lease terms in the Portfolio database, maintaining data accuracy above 98%.
  • Assist in managing property operating expenditures, including budget preparation, debtor management, reporting, expenditure tracking, accruals, and identifying cost reduction and revenue enhancement opportunities within the financial timetable.
  • Support achievement of financial year budgets within +/- 1%, barring agreed variances.
  • Ensure timely payment of lease expenses, including outgoings, statutory costs, and insurance.
  • Review and validate monthly rent roll variances, providing commentary.
  • Assist with regular portfolio management reports detailing property status and performance, including recommendations.
  • Comply with client contract requirements and meet or exceed key performance indicators.
  • Foster an environment that supports improvement, teamwork, cooperation, performance excellence, and personal success.
  • Support a culture of best practice and innovation, proactively developing and implementing property management strategies, policies, and procedures.
  • Assist and support Facilities Management and other Portfolio Managers in their absence.
  • Actively encourage an environment that supports teamwork, cooperation, performance excellence, and personal success.
  • Positively contribute to team meetings.
  • Actively support other team members.
  • Maintain respect for all staff.
  • Provide outstanding customer service by strategically delivering exceptional property management outcomes that align with retail network plan objectives.
  • Engage with stakeholders across all business levels to ensure service delivery expectations are met without introducing financial or tenure risk.

Requirements

  • Real Estate representative certificate essential.
  • Experience working in a high-volume environment with a major landlord or retailer preferred.
  • Experience in property / contract / project management related fields.
  • Ability to deal with a variety of complex issues concurrently within tight operational deadlines.
  • Goal oriented and focused on meeting performance targets.
  • Excellent client service and communication skills.
  • Ability to work well in a team environment.
  • Driver's Licence required.
