About the Role
The Administrative Assistant serves as the primary point of contact for residents and visitors, providing essential administrative support to the management office's departmental functions.
Responsibilities
- Greet residents and guests professionally and courteously.
- Provide administrative support for daily office functions, including answering phones, resolving resident issues, taking memos, generating notices, and managing correspondence.
- Manage resident repair requests and incoming work orders, assigning tasks to maintenance staff and scheduling appointments.
- Follow up with residents and vendors to confirm repair appointments.
- Create work orders for after-hours and weekend emergency calls.
- Update, maintain, track, and close out work orders.
- Collaborate with the AGM to create and track resident data, including move-ins/outs and re-certifications.
- Schedule recertification appointments and track income documentation and waivers.
- Monitor and manage inventory of supplies, equipment, and appliances, maintaining an accurate log and alerting supervisors to low stock.
- Assist the AGM with violation mitigation repairs.
- Coordinate extermination services with vendors and tenants.
- Perform other assignments as directed by the supervisor.
Requirements
- High School Diploma or equivalency.
- 3+ years of comparable administrative work experience.
- 2 years in a Customer Service focused role (preferred).
- 1 year in a Front Desk focused role (preferred).
- Experience with Microsoft Word and Excel.
- Detail-oriented with the ability to multi-task and maintain organization in a fast-paced environment.
- Bilingual in Spanish (preferred).
