About the Role
The Administrative Assistant, Research Operations provides administrative and operational support for Hearing Research International’s (HRI) research funding programs, including grants, fellowships, and scholarships. This role supports the entire funding lifecycle from application intake to award closeout.
Responsibilities
- Coordinate communications with applicants, recipients, reviewers, committees, advisory councils, and organizational partners.
- Ensure accurate documentation, compliance with funding requirements, and effective stewardship of awarded funds.
- Prepare funding agreements, offer letters, amendments, and related documentation.
- Monitor funded awards and support financial reconciliation.
- Ensure reporting obligations are met.
- Serve as the primary administrator and super user of the grant management software system.
- Provide technical support and training to internal and external users of the grant management system.
- Maintain data integrity within the grant management system.
- Generate reports from the grant management system.
- Support system enhancements and process improvements for the grant management system.
- Maintain databases.
- Prepare reports and presentations for the HRI Board and committees.
- Coordinate meetings and events.
- Support continuous improvement initiatives related to funding administration processes.
Requirements
- Post-secondary degree/diploma in business or office administration.
- 3-5 years of senior administrative support experience, preferably within a research, academic, healthcare, or not-for-profit environment.
- Demonstrated experience supporting complex administrative processes.
- Experience preparing professional documentation.
- Experience managing confidential information.
- Experience coordinating activities with multiple stakeholders.
- Legally eligible for employment in Canada.
- Vaccines (COVID and others) are a requirement of the job unless an exemption on a medical ground pursuant to the Ontario Human Rights Code is provided.
Skills
- Expert knowledge and proficiency in all Microsoft Office applications.
- Expert knowledge and proficiency in SurveyMonkey.
- Ability to design and implement systems to collect, maintain, and analyze data.
- Experience with grant/award management software is an asset.
