About the Role

Canadian Blood Services is seeking a Temporary full-time Senior Administrative Assistant to support the Integrated Marketing team during a 9-month transition. This role provides operational and administrative support, coordinating purchasing, financial reporting, forecasting, team logistics, and departmental administration to ensure compliance and timely delivery.

Responsibilities

  • Coordinate departmental purchasing and procurement activities, managing purchase requisitions, purchase orders, and purchase card administration.
  • Ensure accurate, timely, and policy-compliant transactions through SAP.
  • Support monthly forecasting, accruals, budgeting, and year-end financial processes by preparing reports and coordinating financial data.
  • Maintain planning systems and ensure timely, accurate financial inputs.
  • Act as the first point of contact for operational inquiries, providing guidance on purchasing, financial processes, expense reporting, and system access.
  • Escalate complex issues as needed.
  • Maintain departmental records, trackers, and system access.
  • Coordinate team logistics and onboarding activities.
  • Coordinate team events and retreats, managing logistics, vendor relationships, payments, and budget tracking.

Requirements

  • Minimum three years related coordination, financial, or operational experience.
  • Willingness to learn Canadian Blood Services systems on the job.
  • Comfort working with numbers, financial systems, and recurring reporting cycles.
  • Ability to bring order and clarity to multi-stakeholder operational processes.
  • Ability to maintain accuracy under competing deadlines.
  • Ability to discuss operational and financial matters with tact and discretion.
  • Sound judgement and attention to detail.
  • Demonstrated ability to work independently with minimal supervision.
