About the Role
Under the guidance of the Senior Administrator, Front Desk Operations, the Residence Services Assistant supports the operation of Front Desk services for students during the academic year and conference services during the summer months. This position acts as the main information resource for students, guests, conference guests, and contractors, directing calls, visitors, and contractors to the appropriate place or staff member. Effective communication with various teams is essential to meet service standards. The role involves signing in contractors and guests, verifying residence cards, and distributing mail.
Responsibilities
- Supports the operation of Front Desk services for students during the academic year.
- Supports conference services during the summer months.
- Maintains up-to-date student and guest information using appropriate software applications.
- Acts as the main information resource for students, guests, conference guests, and contractors.
- Directs calls, visitors, and contractors to the right place or staff person.
- Ensures guest and student/guest service standards are met through effective communication with the conference team, residence administrative staff, residence assistants, and maintenance and housekeeping staff.
- Signs in contractors and guests.
- Ensures residents show their residence card upon entry.
- Distributes mail.
Requirements
- Minimum of two (2) years of experience in a similar capacity, preferably in a hotel or front desk environment.
- Ability to demonstrate excellent interpersonal, listening, and customer service skills.
- Ability to work well under pressure while demonstrating confidence and good judgment.
- Ability to respond appropriately during an emergency or when dealing with difficult people or situations.
- Demonstrated ability to undertake tasks and duties according to procedures and standard processes.
- Computer literacy with knowledge of e-mail software and Microsoft Office Suite.
- Demonstrated organizational skills and the ability to handle multiple tasks.
