About the Role
We are seeking an Assistant Producer: Media Production & Immersive Film to support project teams with fundamental tasks, enabling effective work and the realization of ambitious design projects. This role requires previous professional experience and is not entry-level. The opportunity focuses on the Media Production and Immersive Film area, and while direct experience is not mandatory, a clear understanding of transferable skills is expected.
Responsibilities
- Schedule project meetings, support Producers with diary management, and take minutes.
- Book travel and accommodation for all team travel.
- Process relevant visas for project teams in all territories.
- Create and distribute schedules and itineraries, including tour and travel packs.
- Assist Producers on projects, including on-site attendance during tech periods.
- Update various databases with clear and correct data for company-wide use and business-critical decision making.
- Compile essential information for the creation of tenders and pitches.
- Check availability and request contract information for technical and production freelancers.
- Assist with third-party licensing.
- Help organize shoots for content creation and behind-the-scenes filming.
- Conduct project-related research for the project team.
- Collaborate with Producers to prioritize sustainability and reducing carbon footprint on projects.
- Collaborate with Producers to ensure designs are accessible to the widest possible audiences.
- Work with the Marketing & Communications department to upload new project pages to the company website and social media.
- Assist Producers with final project documentation for external and internal use.
- Deputize for Producers and Project Managers as required.
- Provide basic catering for meetings as required.
- Perform any further general or administrative tasks reasonably requested.
- Act as a company health & safety and Fire Warden representative as required.
Requirements
- Approximately 1 year of experience as an administrator, runner, coordinator, project manager, or producer.
- Ability to interact with a wide range of people and excellent interpersonal skills.
- Experience working in a fast-paced environment and ability to work under pressure and to tight deadlines.
- Aptitude and/or understanding of creative processes and projects, and specialist craft.
- Interest in working to the highest possible standards.
- Knowledge of or interest in producing in different industries and geographical territories.
- Experience in budgeting and effective budget management.
- Interest in and willingness to travel globally.
- Willingness to work during the hours of our industries, such as weekends and evenings, as required (Time Off in Lieu policy applies).
- Commitment to championing representation and inclusion at every level.
- Experience in sales of projects and negotiating with a range of clients (Desirable).
- Language skills (Desirable).
- An existing network of relationships with commissioning organizations and potential clients (Desirable).
