About the Role

The Payroll Team Assistant provides administrative, operational, and quality assurance support to the Payroll team, ensuring efficient and accurate payroll processing. This role involves coordinating ServiceNow workflows, managing employee banking changes, monitoring direct deposit exceptions, supporting payroll reviews, and maintaining payroll records.

Responsibilities

  • Monitor and manage payroll-related tickets and service requests received through ServiceNow.
  • Assign tickets to appropriate team members based on established processes and workload distribution.
  • Escalate urgent or complex issues to Payroll Leadership as required.
  • Maintain payroll files and records in accordance with organizational policies and legislative requirements.
  • Prepare reports, spreadsheets, and other documentation to support payroll operations.
  • Support payroll process improvement initiatives.
  • Communicate with subcontractors regarding discrepancies or missing information.
  • Receive, review, and process employee banking information changes through Workday.
  • Verify supporting documentation and ensure banking changes are complete, accurate, and appropriately authorized prior to processing.
  • Maintain confidential banking records and ensure compliance with privacy and security requirements.
  • Monitor and track direct deposit rejections, returned payments, and banking notifications, including Notice of Change (NOCs).
  • Investigate banking exceptions and coordinate with employees to facilitate timely resolution.

Requirements

  • High school diploma, with a college diploma in Office Administration or Business/Accounting preferred.
  • Previous experience in payroll, finance, or administrative support is preferred but not mandatory.
  • Strong attention to detail and accuracy in data entry.
  • Proficiency with Microsoft Office applications (Excel, Outlook, SharePoint) and other relevant software.
  • Strong analytical and problem-solving skills; ability to follow procedures and escalate appropriately.
  • Effective written and verbal communication skills, able to interact with internal and external stakeholders.
  • Adaptable and willing to learn new processes, systems, and tools.
  • Commitment to client- and family-centered care principles.
