About the Role
As Front of House Coordinator, you will be the face of the company to guests while supporting seamless operations throughout the office. You will be a resourceful team member, managing guest experience from the first point of contact and contribute to our strong organisational brand. Responsibilities
- Cover a wider time range at the reception to meet security standards by controlling and tracking visits.
- Provide absence cover for the Office Manager during annual leave and lunchtime.
- Raise purchase orders relating to the day-to-day activities of the company and track these using Salesforce.
- Create colleague travel/accommodation accounts.
- Assist with the organisation and running of company events as required.
- Set up meeting rooms and ensure each meeting room is tidy and clean at any time.
- Manage catering orders and purchase requests.
- Ensure all calls are answered promptly and professionally.
- Facilitate office tours and induction for new colleagues.
- Act as a fire marshal and first aider following training.
- Ensure any deliveries are received and stored accordingly.
- Coffee machine maintenance and refill.
- Act as a receptionist for all visitors.
- Welcome guests and clients in a professional and friendly manner.
- Act as point of contact for office-related queries and provide day-to-day support to staff and stakeholders.
- Ensure proactive management of workspaces to ensure they remain functional, tidy, and ready for use.
- Proactively manage stock/stationary supplies.
- Manage shared inboxes effectively.
- Create and issue visitor and colleague badges as required.
Requirements
- Must be immediately available.
- Willing to go through Security Clearance.
- Candidates will be asked to complete a Baseline Personnel Security Standard.
Skills
- Good interpersonal and communication skills, both spoken and written.
- Strong Microsoft Office skills, including Word and Excel.
- Good general technology skills.
- Drive and enthusiasm with a positive attitude and attention to details.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Professional and confident approach when dealing with visitors, colleagues, and stakeholders.
