About the Role
The Client Services Coordinator is responsible for the efficient processing and handling of customer orders, providing support to sales personnel, and ensuring accurate and timely service to clients. This role coordinates the ordering and receiving process, expedites orders, maintains order status, and performs punch-list follow-up to ensure a high level of customer satisfaction. The coordinator acts as a liaison between operational departments and the sales organization.
Responsibilities
- Serves as the main internal customer contact, ensuring that all requirements and expectations are met and conveying an understanding and knowledge of all company products
- Deepens customer relationships
- Develops and maintains a strong partnership with Sales, Design, Project Management and Warehouse to guarantee customer expectations and satisfaction
- Checks orders to ensure accuracy of all information, including cost, sell, product finishes, key alike, manufacturers codes, freight, contracts, purchase and sales documents, ship to and bill to information, COM, etc.
- Ensures accuracy of manufacturer acknowledgements for correct product, finishes, specials, pricing and shipping information
- Maintains and provides weekly order status reports to the client and sales
- Communicates with clients regularly to provide a high level of customer service, answer questions, provide order information, perform follow-up phone calls after job completion, and assist clients with sales support as required
- Tracks and monitors orders for ship dates, clarifications, discrepancies, and changes to ensure clients receive product on time and in good condition
- Schedules orders, monitors shipping and installation dates, and generates timely delivery tickets to the warehouse
- Participates in weekly meetings with sales to proactively manage new orders, changes, discrepancies, punch lists, issues, backlogs, and invoicing
- Prepares and submits orders for invoicing on a timely basis throughout the entire monthly cycle
- Follows up on customer issues in a timely manner, such as back orders and damaged product, and tracks punch list progress utilizing the CORE scheduler
- Utilizes all technology tools to support the job function, including CAP, HMI Kiosk, Order Manager, CORE, Order Status, COR Connect, and Lotus Notes databases
- Maintains a thorough understanding of the administrative process and utilization of all internal resources and departments
- Demonstrates knowledge on all product lines that COR sells
- Understands business and accounting practices and their impact on Account Coordinator responsibilities
- Adapts to changes in process and responsibilities as outlined by management
- Performs other duties as assigned, which are subject to change due to personal growth, organizational development, or technological/industry advancements
- Performs other duties as required
Requirements
- Must be able to read, write, interpret and communicate fluently in English
- Writing skills must be sufficient to compose and edit a variety of documents using correct spelling, grammar and punctuation with the ability to pay close attention to detail and proofread work carefully
- Demonstrates commitment to providing the highest level of customer satisfaction
- Handles a high volume of detailed work with the ability to multitask
- Ability to work accurately to meet deadlines by adapting to changes in work environment, work assignments, and/or changes in priorities in a flexible way by working from your own initiative and/or following direction, policies, or procedures
